Position Overview:

Under the direction of the Chief Programs & Operations Officer and in accordance with the mission, goals, and objectives of the Boys & Girls Clubs of Lower Bergen County (BGCLBC), the Manager of Mentoring & Organizational Outcomes is primarily responsible for the implementation, coordination, quality, and continuous improvement of BGCLBC’s mentoring program across all participating BGCLBC sites and programs.

The Manager leads the recruitment, screening, training, placement, support, and retention of mentors and volunteers and ensures that mentoring services are safe, meaningful, consistently implemented, and aligned with organizational expectations, Boys & Girls Clubs of America standards, applicable grant requirements, and youth-development best practices.

The Manager provides functional and programmatic direction to employees and volunteers serving as mentors. Site-based employees remain under the administrative supervision of their respective Program Directors; however, when performing mentoring responsibilities, they are expected to follow the Manager’s direction regarding assignments, training, program delivery, participant engagement, documentation, reporting, and compliance requirements. The Manager works collaboratively with Program Directors and/or Coordinators to address implementation needs and staff performance concerns related to mentoring responsibilities.

In addition to these primary mentoring responsibilities, the Manager coordinates BGCLBC’s organization-wide data collection, outcome measurement, and impact-reporting systems. The Manager works with program leadership and staff across all sites to promote accurate and timely data, administer surveys and outcome-measurement initiatives, monitor progress toward program and grant goals, and prepare reports demonstrating the organization’s impact.

The Manager uses participation data, outcome results, and stakeholder feedback to identify opportunities for continuous improvement within the mentoring program and BGCLBC’s broader youth-development services.

Essential Duties and Responsibilities:

Mentoring Program Implementation and Management — Primary Responsibility

· Lead the implementation, coordination, and continuous improvement of BGCLBC’s mentoring program across all participating sites.

· Develop and maintain a comprehensive mentoring program plan aligned with organizational goals, BGCA standards, grant requirements, and youth-development best practices.

· Develop and maintain a mentoring calendar that identifies program activities, mentor service schedules, training dates, family events, reporting deadlines, and other important program milestones.

· Ensure mentoring activities are implemented consistently and with fidelity across participating sites.

· Recruit, interview, screen, orient, train, place, support, and retain employees and volunteers serving as mentors.

· Match mentors with participating youth based on program requirements and the needs, interests, and circumstances of mentors and mentees.

· Provide mentors with clear assignments, expectations, procedures, resources, documentation requirements, and completion deadlines.

· Conduct mentor orientation and ongoing training regarding mentoring best practices, organizational policies, youth-development principles, child-safety requirements, required reporting responsibilities, and BGCA-required programming.

· Provide functional and programmatic direction to employees and volunteers serving as mentors, including direction regarding mentoring assignments, program activities, participant engagement, documentation, and compliance requirements.

· Meet individually and collectively with mentors to provide guidance, coaching, feedback, resources, and ongoing support.

· Monitor mentor participation, performance, documentation, and compliance with program expectations.

· Observe mentoring activities and provide mentors with constructive feedback and corrective guidance when needed.

· Review mentor-mentee contacts, activity records, case notes, attendance, weekly tracking reports, and other required documentation for accuracy, completeness, quality, and timeliness.

· Regularly communicate with mentors regarding program expectations, scheduled activities, training opportunities, documentation requirements, deadlines, and areas requiring improvement.

· Monitor mentor-mentee relationships and address concerns that may affect participant safety, relationship quality, program participation, or intended outcomes.

· Work collaboratively with Program Directors to coordinate staff participation in mentoring and ensure that mentoring responsibilities are appropriately incorporated into site operations.

· Promptly communicate staff performance, participation, or compliance concerns related to mentoring responsibilities to the applicable Program Director.

· Work with Program Directors to develop and implement corrective strategies when an employee serving as a mentor does not meet mentoring expectations.

· Escalate unresolved mentoring performance or compliance concerns to the Chief Programs & Operations Officer.

· Communicate with parents and guardians regarding program participation, mentoring activities, concerns, and opportunities for family engagement.

· Coordinate parent, guardian, and family-engagement activities associated with the mentoring program.

· Support the development of mentoring strategies that address participating members’ educational, personal, physical, social, emotional, and career-related needs.

· Ensure mentoring programming supports BGCLBC’s priority youth-development outcomes of Academic Success, Good Character and Citizenship, and Healthy Lifestyles.

· Maintain a supportive, nurturing, inclusive, culturally responsive, and youth-centered approach in all aspects of mentoring-program implementation.

· Establish and maintain systems for monitoring the quality, consistency, and effectiveness of mentoring services.

· Ensure mentoring records and documentation are complete, accurate, secure, confidential, and maintained in a timely manner.

· Complete all required BGCA mentoring reports, including quarterly reports and other assigned reporting requirements.

· Track mentoring-related grant requirements, participation goals, deliverables, performance measures, and reporting deadlines.

· Prepare mentoring-related grant reports, program reports, summaries, presentations, and supporting documentation.

· Ensure the mentoring program complies with BGCA standards, grant requirements, organizational policies, child-safety requirements, and applicable regulatory guidelines.

· Plan and coordinate at least four mentoring-related parent, guardian, or family-engagement events annually, or as otherwise required by applicable grants and program plans.

Organization-Wide Outcomes — Secondary Responsibility

· Coordinate the organization-wide collection and maintenance of membership, attendance, demographic, program-participation, service-delivery, and outcome data.

· Monitor the accuracy, completeness, consistency, and timeliness of information maintained within BGCLBC’s membership-management, attendance, program-tracking, and outcome-measurement systems.

· Work collaboratively with Program Directors, Coordinators, and other staff to identify and correct incomplete, inaccurate, or untimely data.

· Establish organization-wide schedules, procedures, standards, and deadlines for data entry, program documentation, survey administration, and outcome reporting.

· Provide staff with instruction, training, technical assistance, and ongoing support regarding data collection, data entry, documentation, survey administration, and reporting expectations.

· Coordinate the organization-wide implementation of BGCA’s National Youth Outcomes Initiative and other required or approved surveys and outcome-measurement tools.

· Develop implementation plans and timelines for surveys, including participant eligibility, consent requirements, staff assignments, administration procedures, response-rate monitoring, and completion deadlines.

· Compile and analyze quantitative and qualitative data to identify organizational trends, program strengths, service gaps, performance concerns, and opportunities for improvement.

· Prepare organization-wide reports, summaries, dashboards, and presentations regarding participation, program quality, outcomes, and organizational impact.

· Develop and deliver reports or presentations to the CEO, Chief Programs & Operations Officer, Board of Directors, funders, community partners, and other stakeholders, as assigned.

· Collaborate with Resource Development and program leadership to collect and provide organizational data required for grant applications, grant monitoring, funding renewals, and funder reports.

· Maintain an organization-wide tracking system and calendar for assigned program reports, surveys, outcome-measurement activities, grant deliverables, and reporting deadlines.

· Monitor progress toward assigned program goals, grant deliverables, participation targets, and outcome measures.

· Notify the appropriate Program Director and Chief Programs & Operations Officer when data indicates that a program may not meet an established goal, requirement, or reporting deadline.

· Support Program Directors and Coordinators in establishing measurable program goals and developing improvement strategies based on outcome results and participant feedback.

· Administer surveys, focus groups, interviews, and other formal or informal feedback methods involving members, families, employees, mentors, volunteers, and community partners.

· Support organizational planning and continuous-improvement activities by providing timely, relevant, and understandable information regarding program implementation and results.

· Maintain the confidentiality, security, and appropriate use of member, family, employee, volunteer, and organizational information.

· Establish data-quality expectations and communicate identified deficiencies to the applicable Program Director or Coordinator for timely correction.

Collaboration and Functional Authority

The Manager of Mentoring & Organizational Outcomes works collaboratively with Program Directors and other organizational leaders to integrate mentoring, data collection, and outcome measurement into site operations.

Program Directors retain administrative supervision of their assigned employees, including scheduling, time and attendance, performance evaluations, and formal corrective or disciplinary action. The Manager has functional and programmatic authority over employees and volunteers while they perform mentoring responsibilities and may establish assignments, procedures, training requirements, documentation standards, performance expectations, and completion deadlines related to the mentoring program.

The Manager may also establish organization-wide procedures and deadlines for approved data-collection, survey, outcome-measurement, and reporting activities. Program Directors and staff are expected to cooperate with these requirements and promptly communicate operational concerns that may affect implementation.

When performance or compliance concerns arise, the Manager will provide appropriate coaching and direction and work with the applicable Program Director to achieve correction. Significant or unresolved concerns will be referred to the Chief Programs & Operations Officer.

· Adhere to all BGCLBC policies and procedures, child-safety requirements, licensing standards, grant requirements, and applicable laws and regulations.

· Attend required meetings, professional-development activities, and organizational events.

· Complete all required annual training, including training required by the New Jersey Department of Children and Families, as applicable.

· Demonstrate flexibility and adaptability in responding to changing organizational, programmatic, and participant needs.

· Travel between BGCLBC locations and community-based program sites as required.

· Perform other related responsibilities and special projects assigned by the Chief Programs & Operations Officer.

Education and Experience:

· Bachelor’s degree in education, youth development, social services, nonprofit management, public administration, data analysis, or a related field preferred. A combination of relevant education and significant applicable experience may be considered.

· A minimum of five (5) years of experience in youth development, mentoring, out-of-school-time programming, childcare, nonprofit programming, program evaluation, or a related field preferred.

· Experience implementing or coordinating youth mentoring programs strongly preferred.

· Experience providing instruction, coaching, guidance, or functional supervision to employees or volunteers.

· Experience collecting, maintaining, reviewing, and analyzing program data.

· Experience developing and maintaining Microsoft Excel or Google Sheets tracking systems.

· Experience preparing written reports, summaries, presentations, or grant-related documentation.

· Familiarity with membership-management, attendance-tracking, survey, or outcome-measurement systems preferred.

· Knowledge of Boys & Girls Clubs of America programming, standards, and outcome-measurement systems preferred.

· Knowledge of New Jersey Department of Children and Families childcare-licensing requirements preferred.

· Ability to work independently while remaining responsive to organizational leadership and collaborating effectively across departments and sites.

· Ability to work calmly and professionally under pressure.

· Proficiency with Microsoft Office, Microsoft Teams, Google Workspace, virtual-meeting platforms, databases, and other program-management or outcome-measurement systems.

· Commitment to continuous learning, program quality, accountability, inclusion, and positive youth development.

· Ability to maintain a valid driver’s license and meet BGCLBC requirements for driving an organizational vehicle, when required.

Certifications and Required Training:

· Must obtain and maintain current CPR and First Aid certification within 90 days of employment.

· Must complete required child-abuse prevention, mandated-reporter, and BGCLBC child-safety training within established timelines.

· Must complete all annual training required by BGCLBC, Boys & Girls Clubs of America, applicable grants, and the New Jersey Department of Children and Families.

Hours and Working Conditions

This is a full-time, non-exempt position scheduled for 37.5 hours per week. The regular schedule is Monday through Friday from 10:30 a.m. to 6:30 p.m., including a 30-minute unpaid meal period. During the summer, the work schedule may be adjusted to align with program operating hours.

The position requires flexibility based on program operations and may occasionally require adjusted hours, evenings, weekends, meetings, trainings, family events, or other organizational activities. Any additional hours must be approved and recorded in accordance with BGCLBC’s timekeeping and overtime policies.

The Manager will be primarily based at the Lodi Clubhouse and will regularly travel to other BGCLBC sites and community-based program locations. The employee must maintain reliable transportation. Authorized business travel between work locations will be reimbursed in accordance with BGCLBC policy.

Physical Demands

While performing the duties of this position, the employee is regularly required to stand, walk, sit, reach, lean, and bend. The employee must be able to lift and transport items weighing up to 30 pounds. Compensation

The salary range for this position is $55,000–$60,000 annually, depending on qualifications and experience. Employer-paid single-coverage health, dental, and vision insurance is provided, with additional salary available to employees who waive eligible coverage.
