Description
The Vice President of Advancement Operations is primarily responsible for assisting the Advancement Operations staff in carrying out the implementation of development activities for the organization. Responsibilities include, but are not limited to, leadership, event logistics management, strategic partnerships, advancement operations, data and reporting, and administrative compliance. The Advancement Department supports the mission of the organization through raising funds, marketing, and donor relations.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
Leadership:

- Work with leadership and management to assist in carrying out responsibilities on personnel matters.
Advancement Operations:
- Support grant writing activities
- Oversee donor database management, including but not limited to data entry and report creation and analysis; editing as needed to respond to departmental and organizational needs
- Support Gift Agreement and LOI Development
- Regular Meetings with Fundraising Staff to support moves management, opportunities.
- Support Board Reporting for Events and Annual Contributions
- Implement Auto Stewardship plans
- Create Dashboards for Team Efficiency
- Implement Capacity Evaluation and Database Expansion activities
- Possesses an inherent interest in database improvement and efficiencies
Data and Reporting:
- Oversee Advancement department dashboards, editing as needed to respond to departmental and organizational needs
- Generate database reports and work with the Chief Advancement Officer to reconcile database reports with accounting reports
- Use database reports to create resource development strategies and marketing plans
- Maintain Database Integrity
- Leverage Database for strategic fundraising opportunities
- Manage data for Annual Fund
Strategic Partnerships:
- Manage high-touch, key non-corporate advancement projects and partnerships from conception to execution
- Create and implement an annual engagement plan for key partners
- Respond to requests for data and information, including interim and final expense reports and narratives of funding projects
- Develop Annual Corporate ROI Reports
- Work hand in hand with the Chief Advancement Officer and CEO to support Major GIfts and campaign activities
Administrative Compliance:
- Complete all required reports and administrative duties on time.
- Collect and manage required data and internal and external reporting.
- Comply with all administrative policies and procedures, processes and controls
- Accountable for accurate and timely paperwork, reports, and data entry
- Accountable for utilizing all BGCGTC communication tools regularly and effectively
Facility & Safety:
- Accountable for adherence to all organizational health and safety policies and implementation of all safety practices and procedures at assigned work location(s)
- Take all necessary and reasonable precautions to protect members, staff, equipment, materials, and facilities. Abide by facility maintenance protocols and procedures to ensure compliance
- Accountable for reporting incidents and completing documentation within the required timeline
Relationships:
- Be a positive role model
- Maintain emotional control and make good decisions under pressure
- Represent the Boys & Girls Club in a positive manner
Attendance:
- Regular attendance is required; arrive on time, work required hours/shift, and leave at the scheduled time

Requirements
Education and Work Experience Requirements:
- Bachelor’s degree required or equivalent professional experience
- 5 years of Advancement Operations and or project management experience
- Experience with Donor Database is a must
Minimum Qualifications:
- Ability to work regular business hours, including some evenings, nights, and weekends
- Ability to lead and motivate the work of a group of individuals, including volunteers and professionals, in fundraising activities that produce sustained and improved results over time
- Ability to prioritize effectively
- Ability to work in a fast-paced environment
- Ability to work independently with limited supervision and adhere to strict deadlines
- Ability to work collaboratively in groups
- Organizational aptitude to tackle multiple, wide-ranging tasks at once, while utilizing skills of time and task management
- Proficiency in Microsoft Word, Excel, PowerPoint, and Google Drive, Raisers Edge or Salesforce type donor database
- Ability to set and meet goals in a timely fashion through self-sufficiency
- Experience performing data entry and working knowledge of databases
- Must be able to pass agency background screens and drug screens at any time
- Must have reliable transportation, liability insurance, a satisfactory driving record, and a valid driver’s license for operation of a motor vehicle relevant to carrying out duties
Preferred Qualifications:
- Management or supervisory experience
- Experience with fundraising programs
- Experience with volunteer programs
- Work experience with or program knowledge of the Boys & Girls Club Movement (national and/or local Club) is an advantage
- Experience in a non-profit environment
Pay and Benefits:
- Salary: $100,000 yearly Full-Time (Exempt)
