Position Summary
The Volunteer Coordinator supports the recruitment, screening, onboarding, and engagement of volunteers who help advance the mission of Boys & Girls Club of the Foothills. This position assists with administrative processes, volunteer communications, marketing efforts, recruitment, screening, onboarding, and orientation to ensure a positive and productive volunteer experience.

The Volunteer Coordinator plays an important role in supporting this mission by helping recruit, prepare, and retain dedicated volunteers who serve on a regular basis and positively impact the youth and families we serve.
Essential Duties and Responsibilities
Volunteer Recruitment & Outreach
- Assist with efforts in recruiting ongoing and consistent volunteers through community outreach, events, schools, businesses, and partner organizations
- Help create and distribute volunteer recruitment flyers, promotional materials, and outreach communications
- Support volunteer marketing initiatives through social media, email campaigns, and community networking
- Respond in a timely manner to volunteer inquiries and provide information about volunteer opportunities
Volunteer Onboarding & Screening
- Review volunteer applications for completeness and eligibility
- Conduct and document reference checks
- Coordinate and track background check requirements
- Schedule and monitor Live Scan fingerprinting appointments and clearances
- Maintain accurate and up-to-date volunteer records and confidential documentation
- Communicate onboarding requirements and timelines to prospective volunteers
Orientation & Training Support
- Assist with planning, scheduling, and facilitating volunteer orientations
- Prepare orientation materials and volunteer handbooks
- Ensure volunteers complete all required paperwork, training, and acknowledgments
- Provide ongoing support and guidance to new volunteers throughout the onboarding process
- Provide ongoing support and guidance to site staff in engaging and effectively utilizing volunteers
- Serve as a liaison between site staff and volunteers
Administrative Support
- Maintain volunteer databases, files, and tracking systems
- Prepare reports related to volunteer recruitment, onboarding, and participation
- Assist with corporate, volunteer recognition, and appreciation events
- Support special events and Club activities requiring volunteer participation
- Support the Resource Development Team, Director of Operations, and CEO as needed
- Perform other duties as assigned
Qualifications
- Strong organizational and administrative skills
- Excellent written and verbal communication abilities
- Excellent follow up and persistence in seeing tasks through
- Experience working with volunteers, youth-serving organizations, or nonprofit agencies preferred
- Ability to maintain confidentiality and handle sensitive information
- Proficiency with Microsoft Office, Google Workspace, and basic database systems
- Ability to work independently and as part of a team
- Commitment to the mission and values of Boys & Girls Club of the Foothills
- Physical Requirements:
- Ability to sit, stand, and use a computer for extended periods
- Ability to attend off-site community events and volunteer activities as needed
- Ability to lift and carry materials up to 25 pounds occasionally
