The Director of Administration & Human Resources provides leadership and oversight of the organization’s internal administrative systems, human resource functions, and organizational development initiatives. This position is responsible for ensuring efficient internal operations while supporting employee recruitment, development, engagement, compliance, and organizational culture.  

This role works directly with the executive leadership team to strengthen organizational infrastructure, improve employee systems and processes, and build a workplace culture that supports growth, accountability, and mission-driven work. The Director serves as a key internal leader helping ensure the organization has the people, systems, and structure necessary to effectively serve youth and families through the communities we impact. 

PRIMARY RESPONSIBILITIES 

Human Resources Leadership 

  • Oversee all day-to-day human resource functions including onboarding, personnel records, policy administration, employee relations, and compliance.  

  • Manage and maintain the organization’s Human Resource Information System (HRIS), ensuring employee records and reporting systems remain accurate and current.  

  • Support managers and leadership staff with employee relations matters, performance management, corrective action processes, and policy interpretation.  

  • Maintain compliance with employment laws, organizational policies, and personnel documentation requirements.  

  • Assist with payroll support functions and employee benefit administration as needed.  

 

Recruitment & Employee Retention 

  • Lead organizational recruitment efforts including job postings, hiring coordination, onboarding processes, and new employee orientation.  

  • Develop and support employee retention strategies focused on staff engagement, workplace satisfaction, and long-term organizational stability.  

  • Partner with leadership to identify staffing needs and workforce planning opportunities.  

  • Support succession planning efforts and internal leadership development.  

 

Organizational Culture & Employee Engagement 

  • Work collaboratively with leadership to reinforce organizational values and strengthen workplace culture across all departments.  

  • Support employee engagement initiatives that improve communication, collaboration, and team effectiveness.  

  • Lead employee recognition and wellness initiatives that contribute to a positive work environment.  

  • Promote continuous improvement practices that strengthen organizational effectiveness.  

 

Administrative & Operational Support 

  • Prepare and manage grant reimbursement claims and related administrative reporting requirements.  

  • Track staff allocations across funding sources and support workforce reporting needs for grants and budgeting purposes.  

  • Assist with policy development, internal documentation systems, and organizational record management.  

  • Support organizational planning processes and administrative systems that improve operational efficiency.  

  • Assist with audit preparation, compliance reporting, and documentation management as needed. 

 

Leadership Support 

  • Participate as a member of the organization’s leadership team, contributing to organizational planning and decision-making.  

  • Lead short- and long-term planning related to administrative systems, employee development, and organizational capacity building.  

  • Continuously identify opportunities to improve internal systems, processes, and overall organizational effectiveness. 

  • Provide coaching support and guidance to managers regarding mentoring, team development, and leadership growth opportunities.  

Professionalism: 

The Director of Administration & HR is expected to model the organization's mission, vision, and values through consistent professionalism, sound judgment, and a positive example both within and outside the Club. This includes managing priorities effectively, meeting deadlines, supporting fellow staff in achieving program goals, and promptly reporting employee misconduct to the Director of Operations and/or Chief Executive Officer. 

Additional Responsibilities: 

  • Participate in special Club programs and events. 

  • Pass annual and ongoing background checks. 

  • Perform other duties as assigned by the supervisor. 

Qualifications:

Education & Experience (any combination of the following that demonstrates readiness for the role): 

  • Bachelor's degree in Human Resources, Business Administration, Organizational Leadership or related field preferred. 

  • A minimum of 3 years of experience in human resources, administration, nonprofit operations, or organizational development. 

  • Experience managing HR systems, employee records, compliance, and personal administration.  

Other Qualifications: 

  • Valid driver's license and access to regular and reliable transportation. 

  • Strong and effective communication skills, both verbal and written. 

  • Strong organizational, problem-solving, and time management skills with the ability to prioritize multiple responsibilities, delegate effectively, and meet deadlines while working independently. 

  • Knowledge of employment law, HR best practices, and organizational development principles. 

  • Ability to establish and maintain effective working relationships with Club staff, direct reports, Board members, community groups, and other related agencies. 

  • Ability to handle confidential information with professionalism and discretion.  

  • Proficient in Microsoft Office programs, including Outlook, Word, and Excel. Experience with a HRIS database (Paycom) or program management software preferred. 

  • Flexibility to work hours that vary daily and throughout the year. 

Physical Requirements & Work Environment: 

  • Ability to sit, stand, walk, and move throughout office and program environments for extended periods of time.  

  • Ability to operate standard office equipment including computers, printers, telephones, and other administrative technology systems.  

  • Ability to occasionally lift and move materials weighing up to 25 pounds, including office supplies, files, and program materials.  

  • Ability to communicate effectively in person, over the phone, and through electronic communication platforms.  

  • Ability to travel periodically between organizational locations, meetings, trainings, and community events as needed.  

  • Ability to maintain focus and productivity while managing multiple priorities in a fast-paced work environment.  

  • Work is primarily performed in an office setting with regular interaction in youth development program environments and collaboration with staff across multiple locations.  

  • Position may occasionally require evening or limited weekend hours to support organizational meetings, trainings, staff development activities, or special events. 

Salary : $50,000 - $54,000
