** Part time position 20 hours per week. In office schedule is Monday -Thursday 9am to 2pm. No Fridays!
Position Summary:
The Administrative Assistant provides clerical and organizational support to ensure smooth daily operations of the Boys & Girls Club of Portage County. This part-time role focuses on accurate data entry, financial and HR record maintenance, deposit processing, and general administrative tasks that help the leadership team remain effective and efficient.
What You'll Do:
Finance

Process bank deposits, ACH, and EFT payments with proper financial coding.

Provide administrative support to the Director of Accounting for accounts payable, audit, and Finance and HR committee projects, including meeting minutes.

Assist with maintaining organized files and records.
Human Resources
-
Maintain employee personnel files and ensure documentation is complete and compliant.

Support proper implementation of employment processes, policies, and compliance requirements.

Assist with internal celebrations and staff appreciation.

Support recruitment and onboarding of employees.
Donor Stewardship

Assist with stewardship tasks and mailings, in a timely manner.

Attend events as requested to foster donor and community relationships.
General Office Support

Provide scheduling and clerical support to the CEO and Administrative Team as needed.

Answer phones and greet visitors in a professional manner when onsite.

Assist with mail distribution and preparation of correspondence.

Provide support before, during, and after Club meetings.

Order office supplies and monitor inventory and ensure organization.

Support other administrative projects as assigned.

Qualifications:
Qualifications:

High School Diploma or GED required.

Experience providing clerical or administrative support preferred.

Strong organizational skills and attention to detail.

Proficiency with Microsoft Office (Word, Excel, Outlook).

Experience with donor and/or HR software preferred.

Ability to maintain confidentiality and handle sensitive information.

Strong verbal and written communication skills.

Ability to work independently and manage multiple tasks in a timely manner.
Physical Requirements and Work Environment:

Ability to sit at a computer workstation for extended periods of time.

Frequent use of hands/fingers for typing, writing, and data entry.

Must be able to function in a fast-paced and occasionally noisy environment.
