This is a Part-Time Position

25 hours per week
JOB SUMMARY:
The Data Clerk is responsible for maintaining accurate member’s records and data within the organization's systems. This typically includes tasks like registering members, tracking attendance, and updating member information in databases. Other additional duties may include answering phones, providing assistance to members and staff, and handling other clerical duties like managing membership files.
ESSENTIAL JOB FUNCTIONS AND ACCOUNTABILITIES:
Ensure club member applications are filled out completely and correctly with all supporting documentation. Income Eligibility forms etc.
Register members into an online system.
Track daily attendance using My Club Hub and Transact databases and keep databases up-to-date.
Maintain a daily attendance record in Excel as back-up.
Answer the phone and provide proper assistance as needed.
Assist with record keeping for grant compliance.
Archive past membership files, start new membership files, and update current member files in accordance to program schedules.
Clerical and all other duties as assigned.
Ensures all attendance is recorded and activities are recorded into my club hub system and Transact daily and all information uploaded weekly
Ensures report card grades and all membership attendance is up to date in transact and my club hub daily and weekly.
Ensures all member activities are entered in my club hub and transact daily.
Ensures all surveys administered are recorded and collected.
Ensures copies of reports are collected and updated in my club hub and transact
ESSENTIAL JOB FUNCTIONS AND ACCOUNTABILITIES:
Education
- High school diploma or GED required.
Experience
A minimum of one year experience in administrative, data entry, and clerical roles.
Skills
- Basic computer skills and knowledge of Microsoft Office, Word, Excel, and email communication.
- Type 35-50 wpm.
- Ability to operate and manage a multi-line phone system.
- Strong interpersonal and communication skills to effectively interact with parents, community leaders, and staff.
- Ability to maintain and organize records and files.
- Ability to ensure accuracy and completeness of data and records.
- High attention to detail.
- Ability to work independently with minimal supervision.
- Follows directions well.
RELATIONSHIPS:
- Internal: Maintain oral and written contact with Club leadership, staff peers, and volunteers for the purpose of exchange of information, to provide progress reports regarding activities and planned programs, and to coordinate events.
