Position Summary
Reporting to the Director of Administration, the Administrative Coordinator provides high-level administrative support while assisting with board administration, fundraising support, and event coordination. This role requires strong multitasking abilities, excellent communication skills, and a positive, professional attitude while supporting daily operations and organizational initiatives.
Key Responsibilities
- Manage calendars, schedule meetings, and coordinate appointments for leadership
- Prioritize emails, phone calls, and requests to ensure timely
- Gather documents and reports to prepare for meetings and
- Assemble expense reports and reconcile credit card statements
- Track daily expenses and prepare weekly, monthly, or quarterly
- Answer and route phone calls for the administrative office, sports, and grants
- Organize and maintain digital and physical files and
- Format internal and external communications including memos, emails, presentations, and
- Provide scheduling support and prevent calendar
- Maintain professional communication via phone, email, and
- Create copies, scan files, and complete document-related
- Assist with filing, reports, presentations, meeting setup, and ordering
- Develop and improve administrative systems and
- Assist with additional projects and tasks as
- Serve as staff liaison to the Board of
- Prepare and distribute board meeting agendas and
- Record accurate minutes for board and committee
- Maintain official board records and governance
- Assist with board communications and
Fundraising & Event Support
- Assist with planning and coordinating fundraising initiatives and donor
- Maintain donor records and assist with donor
- Support sponsorship outreach and donor
- Assist with planning and executing fundraising and community
- Coordinate event logistics including vendors, volunteers, and
Skills and Competencies
- Exceptional work ethic, organization, and attention to

Education and Experience
- Minimum 2 years experience as an Administrative Assistant, Coordinator, or similar
- Prior nonprofit experience
