Job Overview
The Office Manager / Executive Assistant serves as a strategic operational partner to leadership, ensuring the efficient day-to-day operations of the organization while providing executive-level administrative support. This role oversees office administration, human resources, workplace safety, and operational support. The position acts as a central resource across departments, coordinating projects, improving processes, and supporting company initiatives to promote organizational effectiveness and employee engagement.
Duties
Executive Assistant
· Manage daily administrative operations and office procedures.
· Answer phones, greet visitors, and provide exceptional customer service.
· Schedule appointments, meetings, and company events.
· Maintain office supplies, equipment, and vendor relationships.
· Prepare reports, correspondence, and other business documents.
· Assist with invoices, accounts payable/receivable, and recordkeeping as needed.
· Coordinate travel arrangements and company logistics when required.
· Provide comprehensive administrative support to executive leadership
HR/ Safety Coordination
· Coordinate employee onboarding and offboarding processes
· Prepare and maintain employee personnel files and confidential HR documents
· Coordinate new hire orientation and onboarding schedules
· Assist with recruiting activities, interview scheduling, and candidate communications.
· Maintain HRIS records and employee information
· Coordinate employee training, certifications, and professional development tracking
· Support benefits administration and employee enrollment processes
· Assist employees with HR related questions and direct inquiries appropriately
· Assist with performance review administration and documentation
· Maintain confidentiality of employee information and sensitive business matters
· Administer and maintain the company's safety program.
· Coordinate employee safety training and orientation.
· Maintain OSHA compliance documentation and required records.
· Conduct workplace safety inspections and identify potential hazards.
· Investigate incidents and assist with corrective action plans.
· Track safety certifications, inspections, and training deadlines.
· Coordinate workers' compensation documentation and return-to-work processes.
· Ensure compliance with company policies and applicable safety regulations.
Qualifications
· High school diploma required; associate or bachelor’s degree preferred.
· 3 years of experience in office administration, human resources, or safety coordination.
· Strong knowledge of Microsoft Office (Word, Excel, Outlook, PowerPoint).
· Excellent written and verbal communication skills.
· Strong organizational and time-management abilities.
· Ability to maintain confidentiality and professionalism.
· Experience with OSHA regulations or workplace safety programs is preferred.
Pay: From $50,000.00 per year
