Purpose
Plan, direct and coordinate all administrative services for the office as well as support project management and delivery process.
Responsibilities
Leadership and Direction
- Receive general instruction on key objectives for execution. Receive direction as needed, and especially complex assignments, modified techniques, and new approaches on assignments with conflicting criteria. Work is completed using advanced techniques and principles and is reviewed by more senior staff to ensure application of sound professional judgement. May review work produced by junior staff for quality assurance.
At the Operational and Company Level
Serve as liaison to Human Resources Department for people and paperwork processes.
Serve as liaison to Finance Department for certain accounting processes.
Serve as liaison to Marketing Department for certain paperwork processes.
Execute CEG business plan tasks in order to support existing business and secure new business opportunities.
Do the Work
Analyze, develop and implement project tools to ensure successful, timely, and compliant project deliverables with Project Managers on large-scale engineering projects.
Coordinate the generation of project invoices based on data analysis, project requirements and documentation, and in cooperation with accounting teams.
Prepare and maintain required documents for invoice processing and client payments including payrolls, payroll rates, and budget allocations.
Develop and maintain client and subcontractor relationships through daily interaction, exceptional written and oral communication, and attention to detail.
Demonstrate expertise with spreadsheets, databases, and reporting tools.
Manage the reception area to ensure effective telephone and mail communications both externally and internally.
Oversee the maintenance of all office equipment in branch facility so that it is always functional.
Initiate, negotiate, and manage relationships with property management and vendors who service the building and equipment.
Organize and maintain an office filing system.
Update mailing lists and contact databases.
Provide administrative support to the Branch Manager and others, as assigned.
Assist with meeting financial objectives of office by reviewing invoices, tracking invoices, preparing reports and monitoring billing and other financial statements.

Qualifications
Bachelor's degree in related discipline strongly preferred. College coursework required.
Five or more (5 ) years of experience in administrative services and project coordination with management responsibility.
Proficiency with MS Office Suite (Word, Excel, PowerPoint, Outlook) required.
Experience with Deltek Vision or other project accounting software strongly preferred.
Experience working with invoices and other financial documents.
Physical Demands and Working Environment
Primarily indoor professional office environment which may include bright / dim light, noise, fumes, odors, and traffic.
Mobility around an office environment.
Frequent and prolonged use of standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Occasional lifting or carrying up to 20 pounds.
Occasional pushing or pulling up to 20 pounds.
Occasional reaching outward or above shoulder.
