This Administrative Assistant position is required to be onsite full time at our Troy, MI location and will provide support to the office delivering superior service to internal customers (including support staff and attorneys) and external clients and vendors. This position performs various duties to aid in ensuring an efficient and productive office that acts within compliance of specific Firm and office policies, workflow and procedures. This role will also support administrative needs for partners, legal administrative assistants, the office administrator, front desk duties and other legal support staff as needed.

Prepare expense reports for attorneys, paralegals and administrative staff Make travel arrangements (hotel, air, car, conference room) for attorneys, paralegals, and others as needed Filing and document management organization and support Assist in preparation of PowerPoint, Excel or other presentations Provide backup support to legal administrative assistants in the following areas

Responsibilities:
General Services
- Coordinate off-site duplicating projects
- Manage incoming and outgoing mail, FedEx and UPS shipments
- Perform backup for interoffice scheduled routing of mail
- Manage facsimile transmissions, incoming and outgoing
- Arrange shipping/receiving services (i.e. courier service)
- Provide receptionist / front desk support, including answering main phone line
Administrative
- Arrange for catering, meal reservations and menu planning support for department, partner, client or other meetings
- Word processing and database support
- Spreadsheet (Excel or otherwise) creation, modification or manipulating
- Email management
- Schedule meetings and conference calls using Teams or Zoom as needed
- Keep conference rooms organized and stocked
- Share best practices with other team members within the Firm
- Participate in Legal Administrative Assistant meetings, support staff team meetings and training sessions
- Stay up to date on office workflow, procedures and new technology
- Assist team members with priorities and recognize that all work is Bowman and Brooke work, not individual work
- Promote mutual respect and open and honest communication with all employees and Partners
- Perform special projects and tasks as assigned
- Ability to follow complex written and oral directions
- Polished computer skills including Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) and Adobe products with proven ability to learn new/updated software programs
- Strong typing and accuracy skills,
- Highly organized, process focused with excellent time management skills
- Strong attention to detail, including accurate spelling and grammar skills.
- Ease in projecting a positive and service-oriented attitude (“whatever it takes”)
- Knowledge of various office equipment/business machines
