Position Summary
The Vice President, Finance and Administration provides strategic financial leadership and administrative oversight for the Bowling Green Area Chamber of Commerce and its affiliated entities. The position is responsible for financial strategy, accounting, budgeting, forecasting, financial reporting, cash and investment management, audit and tax compliance, grants and contracts, payroll and benefits, human resources, technology, risk management, and related administrative functions.
As a member of the senior leadership team, the Vice President serves as a strategic advisor to the President and CEO, professional staff, Finance Committee, Executive Committee, Board of Directors, and affiliate boards. The position ensures accurate, transparent, compliant, and effective financial operations while using financial and operational data to identify risks, opportunities, efficiencies, and strategies for organizational growth and sustainability.

Key Responsibilities
Financial Leadership and Strategy
- Serve as the organization's senior financial advisor, providing analysis, forecasting, financial modeling, and recommendations to support strategic decision-making.
- Lead annual budgeting, long-range financial planning, rolling forecasts, cash-flow projections, and financial scenario analysis.
- Develop executive dashboards and financial reporting that communicate performance against budget, prior-year results, forecasts, revenue commitments, receivables, risks, and opportunities.
- Analyze revenue trends, retention, attrition, pricing, costs, profitability, and return on investment across partnerships, investments, sponsorships, advertising, events, programs, and other revenue streams.
- Establish financial policies, internal controls, performance measures, and processes that strengthen accountability, efficiency, data integrity, and organizational sustainability.
- Identify opportunities for cost savings, revenue growth, automation, and operational improvement.
Accounting, Reporting, and Compliance
- Oversee accurate and timely financial statements, general ledger activity, reconciliations, accounts payable and receivable, billing, and financial records for the Chamber and affiliated entities.
- Ensure accounting and reporting comply with GAAP, applicable nonprofit and governmental accounting requirements, and organizational policies.
- Maintain distinct, accurate, and audit-ready financial records for all affiliated entities and oversee inter-entity transactions and cost allocations.
- Provide clear financial reports and recommendations to the President and CEO, senior leadership team, Finance Committee, Board of Directors, and affiliate boards.
- Coordinate annual independent audits, Form 990 filings, tax reporting, and other regulatory requirements.
Budget, Revenue, and Program Performance
- Monitor budget-to-actual performance and communicate significant variances, trends, risks, and recommended actions.
- Maintain rolling revenue forecasts incorporating historical performance, committed revenue, renewals, receivables, risks, and opportunities.
- Monitor partnership and investor revenue, including new, renewed, upgraded, downgraded, and lost accounts, and analyze retention and net revenue growth.
- Provide financial oversight for major events and programs, including budgets, pricing, sponsorships, expenses, profitability, and post-event analysis.
- Partner with all departments to evaluate financial performance and improve revenue and program outcomes.
Cash, Investments, Grants, Contracts, and Risk Management
- Oversee cash management, banking relationships, reserves, investments, fixed assets, insurance, and organizational risk management.
- Oversee financial administration of grants, contracts, and public/private funding agreements, ensuring compliance with requirements and reporting deadlines.
- Monitor significant vendor agreements and financial commitments.
- Ensure appropriate controls and processes are in place to protect organizational assets and financial information.
Human Resources, Payroll, and Administration
- Serve as the primary point of contact for day-to-day HR administration, including onboarding and offboarding, personnel records, benefits, retirement plans, policies, and employee documentation.
- Oversee payroll processing and related compliance.
- Provide strategic oversight of technology systems, software, licenses, cybersecurity, data protection, backups, IT vendors, and technology assets.
- Coordinate facility and operational needs with staff and vendors.
Team Leadership
- Directly supervise, mentor, and evaluate the Finance Manager and Finance Coordinator.
- Establish effective workflows, priorities, deadlines, and accountability standards for the finance team.
- Promote professional development and a culture of accuracy, integrity, confidentiality, collaboration, and continuous improvement.
Education and Experience
- Bachelor's degree in accounting, finance, business administration, or related field required; CPA or MBA preferred.
- Minimum of five years of progressively responsible accounting or finance experience, including supervisory experience.
- Multi-entity financial management experience strongly preferred.
- Nonprofit, chamber of commerce, fund accounting, grant management, audit/Form 990, and/or governmental accounting experience preferred.
Knowledge, Skills, and Abilities
- Strong knowledge of GAAP, nonprofit financial management, internal controls, and financial reporting; familiarity with GASB and governmental accounting preferred.
- QuickBooks experience required, including general ledger, reconciliation, reporting, and multi-entity financial management.
- Proficiency with accounting and financial reporting systems and advanced Microsoft Excel skills.
- Strong analytical, financial modeling, organizational, and critical thinking skills.
- Ability to translate complex financial information into clear business insights and recommendations for non-financial audiences, senior leaders, committees, and boards.
- Demonstrated ability to supervise, coach, and develop staff.
- Exceptional attention to detail, judgment, organization, and follow-through.
- High level of integrity, discretion, and confidentiality.
- Ability to manage multiple priorities and deadlines across the Chamber and affiliated entities.

Working Conditions
