Individuals in this role provide high-level administrative support to managers, program leadership, or multiple functional units and may guide or support lower-level administrative staff.This position supports the Maryland Department of Housing and Community Development (DHCD) at its headquarters in Lanham, Maryland. Temporary Staff provided under this role are employees of the Contractor and will supplement existing Department resources.Examples of Tasks and ResponsibilitiesThe Administrative Assistant II may perform, but is not limited to, the following duties:Drafting, editing, and finalizing correspondence, memoranda, reports, and administrative documentsCoordinating meetings, preparing agendas, recording notes, and tracking follow-up action itemsManaging calendars and scheduling meetings involving multiple internal and external stakeholdersMaintaining, organizing, and safeguarding confidential or sensitive records and filesCompiling, analyzing, and summarizing data for reports, spreadsheets, and presentationsServing as a point of contact between program staff, management, and external partnersSupporting onboarding coordination, administrative compliance tracking, and workflow managementProviding guidance or informal oversight to Administrative Assistant I and Entry Level staffIdentifying opportunities to improve administrative processes and office efficiencyPerforming other related administrative duties as assignedExamples of Equipment and Software UsedPersonal computerE-Fax systemsPhotocopiers, scanners, and multifunction office devicesMicrosoft Office Suite (advanced proficiency in Word and Excel)Google Platform (Gmail, Google Drive, Google Docs, Google Sheets, Google Calendar)Document scanning and management software, such as DocuShare Community Development (DHCD)Minimum QualificationsSeveral years of progressively responsible administrative or office support experienceDemonstrated ability to perform complex administrative tasks independentlyAdvanced proficiency in Microsoft Office and document management systemsStrong organizational, communication, and problem-solving skillsExperience supporting managers, program leads, or senior staff preferredWork EnvironmentWork will be performed onsite at client's headquarters in Lanham, Maryland, unless otherwise directedThe State will provide normal office working facilities and equipment reasonably necessary for performance
