Job Summary
Responsible for management of all aspects of the Event & Catering Department following BCC standards. Develops contracts and coordinates details and menus for all client functions, Club Events, and internal meetings. Monitors and controls financial and administrative responsibilities for all meetings and events. Works closely with the culinary team and food and beverage department to ensure that guests and members’ expectations are met and exceeded. This position ensures the highest level of service for events based on Club standards.
Essential Job Functions
- Sell and promote the Club's social event facilities to all members and member-sponsored events.
- Respond in a timely manner to inquiries, conducts tours, and sets up meetings for prospective events.
- Oversee the preparation of estimates, proposals, contracts, and collection of deposits for all events.
- Assist members in planning all aspects of private events and internal club events.
- Arrange all special requests for club-sponsored events.
- Perform food and beverage coordination for internal meetings, and member-run Committee Meetings.
- Work with the Marketing and Communications Manager to promote, advertise, and market the Club’s social events to all members.
- Maintain the Club's social calendar on the website for updated event information and accuracy.
- Work with the Club’s Executive and Banquet Chefs to determine pricing and menus for the catering business as well as custom menus.
- Helps develop catering budgets; reviews financial reports and makes adjustments as appropriate to achieve department budget goals.
- Track new products and trends in food service and catering applicable to the Club.
- Arrange prompt payment for all events as well as performs regular reviews of Accounts Receivable ensuring past due balances are collected promptly.
- Perform regular reviews of Accounts Payable ensuring payments to vendors are made promptly.
- Represent members’ needs and interests in the monthly House Committee Meeting.
- Attend weekly Department Head Meetings to maintain positive and productive relationships with internal departments and operations.
- Run Banquet Event Order meetings to communicate all details of catering events.
- Meet with the Banquet Chef prior to the function to verify arrangements and to observe the quality of the food presentation.
- Make timely and impromptu decisions, which balance member’s needs with the financial, safety, and staffing goals of the Club.
- Evaluate functions to determine future needs and to implement necessary changes for increased quality.
- Assist the Food and Beverage management staff to develop, implement, and monitor standards of service.
- Handle member/client complaints.
- Understand how to manage in a culturally diverse work environment.
- Use problem-solving methodology for decision-making and follow-up.
- Hire, train, and manage Banquet Captain and Event Set Up Staff.
- Oversee scheduling of Banquet Captain, Event Set Up Staff, and Banquet Servers.
- Perform any other duties pertinent to the overall success of the sales department and group business.
Education and Experience Requirements
- High school diploma or GED.
- Demonstrated knowledge in all aspects of catering/banquets and event sales.
- Experience in effectively managing a team.
- Private Country Club experience preferred.
- Must have strong organizational skills (written and verbal) and computer skills.
- Able to perform and prioritize multiple tasks with ease.
- Ability to provide a high level of guest service with attention to detail and adaptability.
- Club Essential and Reserve Cloud or similar systems are a plus.
- The ability to work a flexible schedule including evenings/weekends/holidays is required.
- Serve Safe certification preferred.
Physical Requirements
- Required to stand and walk for long periods, climb stairs, balance, stoop, kneel, crouch, bend, stretch, twist, and lift up to 50 pounds.
- Must be able to work indoors and outdoors. Must be able to handle hot and cold interior and outdoor conditions.
- Moderate to loud noise level in the work environment.

Salary : $68,000 - $72,000
