Job Summary
We are seeking a proactive and highly organized Personal Assistant to provide comprehensive administrative support to our executive team. This dynamic role involves managing schedules, coordinating projects, handling correspondence, and ensuring smooth daily operations. Duties

  • Manage and maintain complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and events with precision.
  • Coordinate and assist with event planning for company functions, meetings, and special occasions, ensuring all logistics are handled seamlessly.
  • Provide executive administrative support including drafting correspondence, proofreading documents, and transcribing notes as needed.
  • Handle phone etiquette professionally across multi-line phone systems, screening calls and directing inquiries appropriately.
  • Organize files, manage data entry tasks, and maintain accurate records through filing systems and bookkeeping using QuickBooks or similar tools.
  • Support office management activities such as supply procurement, front desk duties, and overseeing office organization to ensure a productive work environment.
  • Assist with project coordination by tracking deadlines, preparing reports, and collaborating with team members to meet objectives efficiently.

Requirements

  • Proven experience as a Personal Assistant or in an administrative role with at least two years of relevant experience.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and office management software such as QuickBooks.
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
  • Exceptional typing speed combined with transcription and proofreading capabilities for accurate document preparation.
  • Demonstrated experience in event planning, project coordination, bookkeeping, and office administration.
  • Outstanding communication skills with professional phone etiquette and customer service orientation.
  • Familiarity with multi-line phone systems, Microsoft Outlook Calendar management, DocuSign for electronic signatures, and data entry procedures.
  • Ability to handle confidential information discreetly while maintaining a positive attitude and proactive approach.
