General Description

The College, Career & School Operations Coordinator will play a key role in supporting postsecondary readiness, student opportunities, schoolwide events, data systems, and day-to-day school operations. This position is designed for a highly organized, student-centered professional who can support students and families through the college and career readiness process while also contributing to the broader operational needs of a busy high school.

The ideal candidate is an excellent communicator, detail-oriented, collaborative, culturally responsive, and committed to expanding opportunity for students from diverse backgrounds.

Responsibilities

College & Career Readiness

  • Coordinate systems and supports for students beginning and completing the college application process
  • Provide individual college and career advising to students, with a particular focus on juniors and seniors
  • Support students and families with college applications, financial aid, FAFSA/CSS Profile completion, scholarships, and college enrollment steps
  • Maintain an up-to-date tracking system for senior postsecondary planning, applications, acceptances, financial aid completion, deposits, and final enrollment decisions
  • Support college and career readiness workshops for students, families, and caregivers
  • Coordinate college visits, college fairs, career panels, guest speakers, and postsecondary exposure opportunities
  • Build and maintain relationships with colleges, universities, community-based organizations, and career partners
  • Support alumni tracking related to college enrollment, persistence, completion, and career pathways
  • Communicate regularly with families/caregivers regarding student progress through the postsecondary planning process

Early College, Early Career & Student Opportunity Support

  • Support systems connected to Fenway’s Early College and Early Career programming
  • Assist with student enrollment, communication, logistics, and tracking related to college courses, internships, career readiness programming, and partner-based opportunities
  • Help coordinate student participation in internships, field trips, work-based learning opportunities, and college/career events
  • Collaborate with school counselors, advisors, teachers, and administrators to ensure students are accessing appropriate postsecondary pathways
  • Support students in developing the organizational skills, communication skills, and follow-through needed for success in college and career settings

Data, Tracking & Reporting

  • Maintain accurate databases related to college applications, financial aid, scholarships, alumni outcomes, internships, and student participation in programs
  • Review and analyze student data to identify needs, gaps, and opportunities for intervention
  • Prepare reports and summaries for school leadership, board committees, funders, partners, and district stakeholders
  • Support schoolwide data collection connected to student outcomes, postsecondary readiness, attendance, program participation, and school improvement goals
  • Use Aspen, Naviance or similar college/career platforms, Google Workspace, Microsoft Office, and other systems to organize and communicate information

School Operations & Event Support

  • Support the planning and execution of major school events, including but not limited to college and career events, Senior Awards, graduation-related events, Project Week, family nights, exhibitions, and partner events
  • Assist with logistics for field trips, student programming, guest speakers, and community partner visits
  • Coordinate communication, materials, schedules, rosters, permission slips, and operational details for student events and programs
  • Support schoolwide systems that improve student access to opportunities and strengthen the overall student experience
  • Provide general operational support to the Head of School and leadership team as assigned

Partnerships & Community Engagement

  • Develop and manage relationships with community-based organizations that support college advising, career readiness, financial aid, mentoring, scholarships, and student success
  • Serve as a liaison with selected external partners, colleges, universities, and community organizations
  • Help coordinate partner communication, student referrals, event planning, and follow-up
  • Support efforts to connect Fenway students with meaningful opportunities across Boston’s college, career, nonprofit, healthcare, arts, business, and civic sectors

Collaboration & School Leadership Support

  • Collaborate with school counselors, teachers, advisors, administrators, student support staff, and partner organizations
  • Participate in relevant leadership, student support, and planning meetings
  • Contribute to a collaborative and solutions-oriented school culture
  • Perform additional duties as assigned by the Head of School

Qualifications - Required

  • Bachelor’s degree required
  • Experience working with students in an urban public school, youth-serving organization, higher education, college access, career readiness, or related setting
  • Strong knowledge of the college application and financial aid process
  • Strong organizational and project management skills
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities, deadlines, and details
  • Ability to build positive relationships with students, families, staff, and external partners
  • Experience using data systems, spreadsheets, and technology tools to track student progress and program outcomes
  • Commitment to educational equity and expanding postsecondary opportunities for students from historically underserved communities
  • Current authorization to work in the United States

Qualifications - Preferred

  • Experience working in a Boston Public School or urban public high school
  • Experience in college admissions, college access, school counseling, career advising, youth development, or student support
  • Familiarity with Xello, Aspen, Common Application, FAFSA, CSS Profile, MEFA Pathway, or similar platforms
  • Experience facilitating student and family workshops
  • Experience coordinating events, partnerships, field trips, or school-based programming
  • Strong interpersonal and presentation skills
  • A positive attitude, flexibility, sense of humor, and commitment to working as part of a team

TERMS: Managerial Tier B.

School-based Managerial employees will work 223 days each year. The 223 day work-year will include the 183 days in which school is in session, and the additional days will be determined by the employee and the principal or headmaster of the school.

School-based Managerial employees are not eligible for vacation time or compensatory time. In the event of school cancellation due to snow or inclement weather, school-based Managerial employees need not report to work.
