Role Description This full-time, on-site Medical Practice Assistant role is based in Brookline, MA and supports the daily operations of a busy Ob/Gyn practice. The Medical Practice Assistant will greet and register patients, manage check-in and check-out processes, verify insurance information, and collect copayments. Responsibilities include answering phones, scheduling and confirming appointments, routing messages, and maintaining accurate patient records in the practice’s electronic systems. The role also involves preparing charts, handling incoming and outgoing correspondence, filing and scanning documents, and coordinating with clinical staff to ensure smooth patient flow. The Medical Practice Assistant will provide courteous customer service, help address patient questions, and uphold confidentiality and safety standards at all times.

Qualifications

  • Strong clerical skills, including data entry, filing, and basic record management.
  • Experience in administrative assistance, such as scheduling, organizing documents, and supporting office workflows.
  • Professional phone etiquette and the ability to manage multi-line phone systems.
  • Clear and respectful communication skills for interacting with patients, clinicians, and colleagues.
  • Customer service skills with a focus on empathy, patience, and problem-solving in a healthcare setting.
  • Familiarity with medical office procedures and electronic health records (EHR) is preferred.
  • Ability to multitask, prioritize, and maintain accuracy in a fast-paced environment.
  • High school diploma or equivalent required; additional training or certification in medical office administration is a plus.
  • Commitment to maintaining patient confidentiality and adhering to practice policies and regulatory requirements.
