We are a fast-growing real estate firm based in Boston, seeking a dependable and detail-oriented Office Administrator to support daily business operations. This is a key administrative role responsible for ensuring smooth communication and workflow across the office. The ideal candidate is professional, organized, and comfortable handling a variety of tasks in a fast-paced environment.
Responsibilities:
- Answer and direct incoming phone calls with a friendly, professional demeanor
- Monitor and respond to company emails promptly and accurately
- Open, sort, and distribute daily incoming mail and packages
- Prepare outgoing mail and manage courier/shipping needs
- Maintain organized filing systems—both digital and physical
- Greet and assist visitors, clients, and vendors entering the office
- Draft, format, and send letters, emails, and documents as needed
- Maintain office supplies inventory and place orders when necessary
- Support the team with scheduling meetings, showings, and appointments
- Assist with drafting lease agreements, notices, and basic real estate documents
- Help coordinate listings, signage, keys, and lockbox tracking
- Perform data entry and help maintain internal databases and CRM systems
- Provide support with invoicing, bill tracking, and basic bookkeeping tasks
- Ensure the office is clean, organized, and presentable at all times
- Act as a liaison between property managers, realtors, contractors, and clients
- Handle confidential information with discretion and professionalism
Qualifications:
- 1–3 years of office administration experience (real estate industry a plus)
- Excellent communication and interpersonal skills
- Strong organizational and time-management abilities
- Proficient in Microsoft Office and Google Workspace
- Comfortable learning new software and managing digital tools
- Able to work independently and prioritize multiple tasks
- Dependable, punctual, and detail-oriented
