The Administrative and Medical Support Assistant position plays a vital role in keeping our clinics running smoothly by supporting both clinical and administrative operations. You’ll be the first point of contact for patients and visitors and will help ensure that all aspects of scheduling, communication, and documentation are handled efficiently and with care.
Key Responsibilities include:
- Welcome and check in patients with warmth and professionalism, creating a positive first impression.
- Manage and coordinate provider schedules, patient appointments, and reminders to ensure efficient operations.
- Serve as a communication hub — answering phones, responding to messages, and coordinating information between patients, providers, and leadership.
- Assist with insurance verification, authorizations, and payment processing.
- Prepare, maintain, and organize digital records in compliance with agency and HIPAA guidelines.
- Monitor office supplies, assist with ordering, and ensure a clean and organized work environment.
- Provide general administrative support to management and clinical staff as needed.
Qualifications & Skills:
- High school diploma or equivalent required; Associate’s degree in healthcare administration, business, or related field preferred.
- Minimum one year of experience in a healthcare, behavioral health, or administrative setting preferred.
- Strong multitasking, time management, and organizational skills.
- Proficiency with electronic health record (EHR) systems and Microsoft Office Suite.
- Excellent verbal and written communication skills.
- Ability to maintain confidentiality, professionalism, and calm in a fast-paced environment.
- Knowledge of HIPAA and behavioral health guidelines preferred.
- Bilingual in Spanish and English strongly preferred (but not required).
