Position Summary
The Pharmacy File Clerk is responsible for maintaining accurate, organized, and compliant documentation in support of pharmacy operations. This role ensures prescription records, compounding documentation, quality records, and regulatory files are properly filed, indexed, and readily accessible in accordance with state board regulations, FDA requirements, and company SOPs.
The position plays a critical role in inspection readiness, audit support, and regulatory compliance by maintaining documentation integrity and record retention standards.
Key ResponsibilitiesDocument Management & Filing
- Maintain physical and electronic filing systems for prescriptions, batch records, and quality documents.
- Scan, index, and archive documents into designated systems.
- Ensure accurate labeling and version control of documents.
- Organize compounding records by lot, date, and prescription number.
- Maintain secure storage of confidential patient records (HIPAA compliant).
Regulatory & Compliance Support
- Ensure documentation meets state board and FDA record retention requirements.
- Prepare documentation for audits and inspections.
- Monitor file completeness and escalate missing documentation.
- Assist QA and PIC with document retrieval during inspections.
- Maintain document retention logs.
Record Accuracy & Integrity
- Verify documentation completeness before filing.
- Ensure signatures, dates, and required information are present.
- Flag discrepancies or incomplete records.
- Support CAPA documentation tracking when requested.
Administrative Support
- Assist with data entry into pharmacy systems.
- Support document tracking logs.
- Maintain confidentiality of protected health information.
- Assist with cross-department filing coordination.
Qualifications
- High school diploma required.
- Prior experience in a pharmacy, healthcare, or regulated environment preferred.
- Strong attention to detail and organizational skills.
- Ability to handle confidential information responsibly.
- Basic computer skills (Microsoft Office, document scanning systems).
- Understanding of HIPAA requirements preferred.
