Full-Time | Crane & Transport Industry
POSITION OVERVIEW
The Business Office Manager is a pivotal leadership role responsible for overseeing the financial, administrative, and operational office functions of our crane and transport company. This individual will serve as the organizational backbone of our business office — ensuring accuracy, compliance, and efficiency across billing, accounting, HR vendor relations, and internal processes. The ideal candidate brings exceptional attention to detail, a proactive mindset, and a strong commitment to integrity and professionalism.
KEY RESPONSIBILITIES
Billing & Revenue
- Coordinate percent-complete billing and revenue recognition processes
- Prepare and issue accurate customer invoices in a timely manner
Accounting & Financial Oversight
- Perform bank reconciliations and oversee deposit processes
- Conduct monthly AP reconciliations to ensure accuracy and completeness
- Submit bills for internal approval following established workflows
- Oversee credit card reconciliation and expense reporting
- Process vendor bills and manage accounts payable, including payment scheduling
Expense & Approval Management
- Review and approve business expenses in accordance with company policy
- Ensure proper documentation and coding for all expenditures
HR, IT & Vendor Relations
- Manage relationships with HR and IT vendors, serving as the primary point of contact
- Coordinate vendor agreements, renewals, and performance expectations
Compliance & Payroll Support
- Oversee DOT compliance documentation and recordkeeping
- Manage and submit DOT quarterly and annual filings in accordance with regulatory requirements
- Conduct timecard quality assurance review to ensure accuracy prior to payroll processing
Process Improvement & Special Projects
- Identify opportunities for business process improvement and implement solutions
- Lead or support special projects as assigned by leadership
REQUIRED QUALIFICATIONS
- Proficiency in QuickBooks Online for accounting and financial management
- Advanced skills in spreadsheet applications (Microsoft Excel or Google Sheets)
- Exceptional organizational skills with the ability to manage multiple priorities simultaneously
- Strong attention to detail and commitment to accuracy in all financial and administrative work
- Critical thinking and analytical problem-solving abilities
- Ability to multitask effectively in a fast-paced, deadline-driven environment
- Strong written and verbal communication skills
- Must be a team player who collaborates effectively across departments and supports shared goals
- Demonstrates a high level of professionalism in all interactions, communications, and conduct
PREFERRED QUALIFICATIONS
- Working knowledge of DOT (Department of Transportation) compliance requirements
- Prior experience in the crane, heavy equipment, or transportation industry
- Experience with Bill.com or comparable project/operations management platforms
- Familiarity with accounts payable workflows in a service-based business environment
