The Shop Coordinator is responsible for assisting with the administrative and operational functions of the shop. This position ensures accurate processing of invoices and purchase orders, maintains inventory of shop supplies and small tools, manages scheduling for repairs, and coordinates equipment tracking and maintenance. The Shop Coordinator plays a key role in supporting efficient shop operations and minimizing downtime of fleet vehicles and equipment.

Essential Functions

1. Process and reconcile invoices for shop purchases in alignment with company policies.
2. Prepare, manage, and track shop purchase orders (POs).
3. Schedule and coordinate shop repairs to optimize equipment availability.
4. Maintain accurate inventory of shop supplies, consumables, and small tools.
5. Manage B2W (or equivalent system) inventory records for equipment and parts.
6. Track equipment utilization, maintenance schedules, and service intervals.
7. Oversee tool room operations, including check-in/check-out procedures.
8. Monitor inventory of tools and materials deployed to the field and ensure accountability.
9. Communicate with vendors and suppliers regarding orders, deliveries, and service needs.
10. Support the Shop Manager with reporting, budgeting, and cost control efforts.
11. Ensure compliance with company safety standards and procurement procedures.

Required Education and Experience
1. High school diploma or GED.
2. Must have a valid driver’s license.
3. Experience with Microsoft Office Suite.
4. Strong organizational skills and attention to detail.
5. Ability to manage multiple priorities in a fast-paced environment.
6. Effective written and verbal communication skills for interaction with staff, vendors, and management.
Preferred Education and Experience
· Associate or bachelor’s degree in business, logistics, or a related field.
· Previous experience in a repair shop, fleet management, or equipment maintenance environment strongly preferred.
· Proficiency in inventory management and maintenance tracking systems (i.e., B2W) preferred.
· Working knowledge of truck and equipment parts and tools desirable.
