Book Harvest—an award-winning nonprofit dedicated to providing books for every child, support for every parent, and literacy for every community—is seeking a School-Age Initiatives Coordinator to join our Books on Break and Books from K program team. 


This is a full-time, non-exempt position based in Durham, North Carolina.


Salary and Benefits: The salary range for this position is $41,280 to $51,280, commensurate with experience. Book Harvest employs an experience-based pay model with predefined salary ranges and annual opportunities for salary growth. Salaries are determined exclusively by years of relevant experience. Book Harvest does not inquire about prior earnings nor negotiate salary offers as part of our commitment to pay equity.

Our Process:  We will begin by reviewing all submitted materials (resume and cover letter). Selected candidates will be invited to an initial phone interview, followed by an in-person interview with key members of the School-Age Initiatives team. Finalists will then be asked to complete a work sample and participate in a final Zoom interview with additional members of the Book Harvest team.

Position Overview


The School-Age Initiatives Coordinator supports the successful implementation of Book Harvest’s Books on Break and Books for K programs by providing excellent service to Book Harvest’s school and organizational partners. Reporting to the Senior Associate Director of Program Implementation, School-Age Initiatives, this full-time team member conducts virtual and in-person training, supports partnerships across North Carolina and beyond, maintains organized book lists and program materials, and provides administrative support. 


The ideal candidate possesses strong organizational and interpersonal skills, representing Book Harvest’s culture and core values in all interactions with staff, partners, and the community.


This is a hybrid position; in a typical week, approximately 40-50% of the work will take place at Book Harvest’s office at 2501 University Drive in Durham, NC, and/or in the community. A minimum of two days a week, work should take place in the office. Typical work hours span Monday-Friday. 


Responsibilities


The responsibilities for this position include, but are not limited to, the following activities:


Program Support and Implementation (65%)

  • Partner Training & Support
    • Support the Associate Director in scheduling, organizing, and conducting training.
    • Deliver program training modules to partners, with the expectation of independent delivery after 6 months
    • Lead communications with partners regarding delivery schedules, events, and surveys.
    • Generate proposals and service agreements; track and organize all documents.
  • Logistics & Administration
    • Support the Associate Director in creating materials and maintaining organizational systems.
    • Organize, maintain, and order supplies (bags, posters, etc.) for both programs and track all purchases.
    • Collaborate with the book procurement and volunteer teams to order and maintain all program books.
    • Manage administrative logistics for the team by coordinating travel (flights, hotels) and scheduling meetings (agendas, notes).
  • Program Growth & Representation
    • Conduct research on potential school districts, summer partners, and conferences.
    • Order and manage all materials for presenting and exhibiting at conferences.
    • Represent the programs by attending, exhibiting, and/or presenting at 2-3 conferences per year.
    • Provide focused logistical and administrative support on defined program development initiatives as directed by the Senior Associate Director.

Evaluation, Data, and Grant Reporting 20%

  • Accurately collect, enter, and organize program data (e.g., surveys, attendance logs) to ensure data integrity for evaluation and reporting
  • Collaborate with the Data and Evaluation Team to administer surveys, conduct evaluations, and track progress toward program goals
  • Provide support with the writing of final reports for program partners
  • Collaborate with the Advancement and Communications teams to provide programmatic content, data, and stories that highlight impact for grant applications, reports, and materials

Administration (15%)

  • As part of a learning team, participate in regular Book Harvest staff meetings, one-on-one supervisory meetings, departmental meetings, and other internal and external meetings as needed
  • Attend events, including Books on Break and Books for K program events, Book Harvest’s Block Party, Dream Big, staff-wide meetings and retreats, and other events as needed
  • Professional development opportunities as provided and recommended annually
  • Sustained contribution to organizational inclusion, diversity, equity and belonging efforts

Requirements


Qualifications

  • Proficiency in Google Suite (Docs, Sheets, Slides) and Microsoft Office Suite (Word, Excel, PowerPoint); and other database-related tools, including spreadsheet formulas, is required 
  • Strong planning, prioritization, and organizational skills with excellent attention to detail and the ability to manage multiple tasks, meet deadlines, and anticipate needs proactively
  • Strong interpersonal and communication skills with the ability to develop trust with a wide range of individuals from a diverse community
  • Confident and self-motivated with initiative to learn; can proactively ask for help and anticipate problems
  • Experience and comfort with presenting material in front of various audiences
  • Adherence to strict standards of confidentiality and professionalism
  • Ability to work independently while also being a collaborative team player
  • Able to transport full boxes of books (up to 50 lbs) 
  • Understanding of and dedication to the mission and culture of Book Harvest, which includes cultural competence, demonstrated commitment to social justice and youth literacy, demonstrated capacity and enthusiasm for teamwork and collaboration, and a commitment to active involvement in an anti-racist organizational culture.
