We are seeking a highly organized, customer-focused, detail-oriented Receptionist & Multi-Site Coordinator to serve as the front-line representative across our 6 storage facility locations. This role is central to daily operations, requiring the ability to manage a high volume of customer interactions, oversee financial transactions, enforce rental policies, coordinate with maintenance staff, and conduct lien/auction proceedings for delinquent accounts — all while maintaining a professional and welcoming office environment.

- Serve as the primary point of contact for current and prospective tenants across all 6 facility locations.
- Welcome walkin customers, assist with rental inquiries, lease agreements, and account management.
- Answer and manage incoming phone calls for multiple business entities and facility locations, routing calls appropriately and professionally.
- Resolve tenant complaints and concerns in a timely, professional, and courteous manner.
- Maintain accurate tenant records and update account information in the property management system.
- Accept, count, and process rent payments — including cash, check, and electronic payments — accurately and efficiently.
- Balance daily cash drawers and reconcile payment totals at end of each business day.
- Pull and submit monthly financial reports, including occupancy summaries, income reconciliation, and delinquency tracking.
- Issue receipts, post payments to tenant accounts, and maintain organized financial records in compliance with company policy.
- Monitor and enforce hard rent deadlines in accordance with lease agreements and state lien laws.
- Initiate and manage the delinquency process, including sending late notices, delinquency letters, and lien notifications.
- Communicate firmly and professionally with overdue tenants regarding payment expectations and consequences of nonpayment.
- Coordinate with management on accounts requiring escalated action, including overlocking and access restriction.
- Manage the full lien auction process for units with unpaid balances, in compliance with applicable state storage lien laws.
- Prepare auction notices and ensure proper legal notification timelines are met.
- Coordinate inperson and/or online auction listings, work with auction platforms, and communicate with bidders.
- Document auction outcomes, process proceeds, and close delinquent accounts accurately postauction.
- Act as the primary liaison between tenants and the maintenance department to log, track, and follow up on facility repair and service requests.
- Conduct routine visual inspections of facility conditions and promptly report hazards or maintenance needs.
- Coordinate scheduling of maintenance work across all 6 locations to minimize disruption to tenants.
- Maintain a maintenance log and communicate status updates to management and affected tenants.
- Manage administrative responsibilities across all 6 storage facility locations, ensuring consistency in policy application and recordkeeping.
- Prepare and close out monthly operational reports for each facility, including occupancy rates, revenue summaries, and delinquency status.
- Maintain facility documentation, lease files, and compliance records in an organized and auditready manner.
- Support management with any additional reporting, data entry, or operational tasks as needed.
Required
- High school diploma or GED equivalent; associate degree or higher preferred.
- Minimum 2 years of experience in a customerfacing role (retail, property management, hospitality, or similar).
- Demonstrated experience handling cash, processing payments, and balancing financial records.
- Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook); ability to learn property management software quickly.
- Ability to work independently, exercise sound judgment, and maintain composure in highpressure situations.
- Prior experience in selfstorage, property management, or multisite operations.
- Familiarity with storage lien laws and/or auction processes (e.g., SpareFoot, StorageTreasures, or similar platforms).
- Experience with Sitelink platform is a plus
- Experience managing multiline phone systems and serving multiple business entities.
- Primarily officebased with occasional travel between storage facility locations as needed.
- May require standing, walking facility grounds, or light physical activity during inspections.
- Must be able to operate standard office equipment (computer, multiline phone, copier, etc.).
