Job Title: Membership Coordinator (Hourly, Non-Exempt)

Position Overview
The Membership Coordinator plays a key role in supporting the daily administrative and operational functions of the Membership Office. This position requires exceptional attention to detail, discretion, and professionalism to ensure all aspects of membership administration are handled accurately, efficiently, and with the highest level of confidentiality.
This is a non-exempt, hourly position and is eligible for overtime in accordance with applicable state and federal wage and hour laws.
Key Responsibilities
- Perform general administrative duties including filing, managing the Membership email inbox, and monitoring, responding to, and returning voicemails in a timely manner.
- Coordinate all aspects of the membership application process, including:
- Reviewing candidate applications for completeness and accuracy
- Communicating with sponsors and candidates as needed
- Tracking application status and timelines
- Prepare, maintain, and distribute membership reports as directed by management.
- Track and update all membership changes, maintaining accurate and up-to-date records for:
- Semi-annual membership mailings
- Internal reporting
- Lobby or member-facing postings
- Maintain organized digital and physical membership files, ensuring records are current, accurate, and easily accessible.
- Assist with planning and execution of membership-related mailings, events, and special projects.
- Support the Membership team and other departments as needed to ensure a seamless and high-quality member experience.
Qualifications & Skills
- Demonstrated sense of responsibility with a strong commitment to confidentiality and discretion.
- Exceptional organizational skills and attention to detail across administrative processes and calendar management.
- Strong written and verbal communication skills, including professional phone and email etiquette.
- Proven ability to multi-task, prioritize, and remain composed in a fast-paced environment with frequent interruptions.
- Proficiency in Microsoft Office Suite, including Outlook, Excel, and PowerPoint.
- Experience with Jonas or other membership management systems preferred.
- Strong interpersonal and teamwork skills with a polished, service-oriented demeanor consistent with private club standards.
Work Environment & Expectations
- Hourly, non-exempt position; overtime may be required based on business needs.
- Regular business hours with occasional evenings, weekends, or holidays depending on club events and membership activities.
- Professional appearance and demeanor required at all times.
Physical Requirements
- Ability to sit for extended periods and work at a computer.
- Occasional lifting of materials (up to 20 lbs) for mailings or events.
- Ability to move throughout the club property as needed.
Salary : $35 - $37
