Project Administrator -Onsite Airport (MSY)

Job Summary: This position is responsible for assigned administrative and accounting tasks for the New Orleans Airport (MSY) project in support of the onsite project management team. Position is located at the Boh Bros. jobsite office trailer at the Louis Armstrong New Orleans International Airport (MSY).

Duties and Responsibilities:

• Attends all meetings as requested, records the minutes, and ensures the minutes accurately reflect the meeting content.
• Secures executed copies of all correspondence relating to the project, including scanning and uploading all documents into the Project Management software.
• Under the direction of the Project Manager, performs administrative and clerical functions pertaining to project documents (e.g., change orders, compliance monitoring and reporting, etc.).
• Under the direction of the Project Manager, maintains and logs all equipment on the jobsite.
• Reviews all incoming emails and inter-department mail and ensures it is distributed to the appropriate team members.
• Acts as the Office Manager for the jobsite office trailer, ensuring the trailer is maintained appropriately, supplies are maintained, and small trailer repairs are coordinated.
• Performs all administrative duties as assigned by the Project Team. Where priorities conflict, seeks guidance from the Project Manager.
• Receives, organizes, and files all dray tickets to ensure quantities of materials delivered are accurate and subsequent invoices are submitted promptly and are consistent with the structure in the Subcontract or Purchase Order.
• Receives the Daily Reports and ensures they are reviewed and appropriately scanned into Project Management Software.
• Under the direction of the Project Manager, compiles Time and Material billings for all scopes of work performed on the project. Compiles daily tracking worksheets for all labor, materials, equipment, and subcontractor features associated with work performed.

Skills, Knowledge, Qualifications & Experience

• High School Degree or equivalent. Some advanced additional education is preferred.
• Construction experience of 3 to 5 years preferred.
• Experience preferred in the following construction-based software systems as applicable to this position: CMiC, Heavy Job, LCP Tracker, B2G Now, Textura, Latista, etc.
• Effective communication skills.
• High level of skill with BlueBeam and the Microsoft Office suite of projects, including: Excel, Word, and Power Point.

• Ability to work as a team member, maintain confidential information, and work under pressure.
