HR & Administrative Coordinator (Full-Time)

We're adding an HR & Administrative Coordinator to our Lincoln HQ to help carry that load.
The Role
You'll be the right hand to our HR Manager, picking up day-to-day HR and safety administrative work so the team can focus on strategy, hiring, and keeping our crews certified and in the field. You'll also be a go-to resource for the broader office team on scheduling, forms, document management, permitting, job bonding, estimating, insurance, and general compliance. This is a hands-on, high-ownership seat with room to grow as we grow.
What You'll Own
HR & Employee Records
• Maintain complete, audit-ready employee files: I-9s, W-4s, offer letters, certifications, medical surveillance, disciplinary documentation
• Track expiration and renewal of employee certifications, medical clearances, state licensing and certification, and required training across the workforce
• Manage FieldFlo (HR software) and data management
Recruiting & Onboarding
• Post open positions, screen applicants, coordinate interviews, and manage candidate communication
• Run new-hire onboarding end-to-end: paperwork, system setup, benefits enrollment, first-week orientation, and required training scheduling
• Coordinate onboarding
Safety Program Support
• Partner with the safety team on SDS library upkeep, site audit documentation, incident and near-miss reporting, and OSHA recordkeeping
• Help prepare documentation packages for client prequalification's (ISNetworld, Avetta, Veriforce, etc.)
Benefits & Payroll Admin
• Support benefits enrollment, changes, and employee questions
• Assist with payroll prep: timecard review, PTO tracking, and reconciliation with the HR Manager and accounting
Office Administration
• Provide admin support across the team: scheduling, filing, form preparation, travel coordination, and document management
• Help other departments with administrative bandwidth on project paperwork, client submittals, and regulatory filings
What You Bring
• 1–4 years of experience in HR coordination, office administration, or a comparable role (industrial, construction, or environmental services experience a strong plus)
• Associate's or bachelor's degree preferred, or equivalent professional experience
• Working knowledge of employment basics (I-9, E-Verify, FLSA, EEO); willingness to build deeper expertise under the HR Manager's mentorship
• Proficiency in Microsoft Office; experience with HR software, payroll, or applicant tracking systems is a plus
• Attention to detail and strong organizational instincts
• Professional discretion with confidential information
• Clear, direct communicator who can work with field crews, office staff, and leadership alike
