HR & Administration Analyst

About the Role
The HR & Administration Analyst supports the daily operations of the Human Resources and Administrative functions, ensuring smooth execution of HR processes and office operations. This role plays a key part in onboarding, employee data management, office administration, fleet coordination, internal events, and cross-functional support, contributing to an efficient and well-organized workplace.
Key Responsibilities
Human Resources Operations
- Support onboarding processes including office tours, equipment delivery, and system registrations (Vacation DB, Concur, etc.).
- Maintain accurate employee records, databases, and internal directories.
- Assist with expat documentation tracking and visa renewal coordination.
- Talent Acquisition Support:
- Support job fairs and recruitment events (logistics, materials, registration).
- Coordinate interview scheduling with candidates and hiring managers.
- Follow up on personnel requisitions and ensure timely processing.
- Conduct initial candidate sourcing through job boards and databases.
- Maintain candidate tracking and communication logs.
- Training & Development:
- Coordinate internal training sessions (invitations, attendance tracking, provider quotations).
- Support training logistics (room setup, materials, refreshments).
- Maintain training records and support reporting of training metrics.
- Employee Engagement & Culture:
- Support internal communication campaigns to promote company culture.
- Assist in organizing employee engagement initiatives (wellness activities, recognition programs).
- Maintain bulletin boards and digital communication channels (e.g., Intranet).
Administrative Support
- Manage office supplies (kitchen, stationery, cleaning, IT consumables).
- Coordinate with vendors for cleaning, pest control, HVAC, and general maintenance.
- Maintain and renew subscriptions (newspapers, magazines).
- Ensure compliance-related posters and handbooks are updated and displayed.
- Support lease renewals and office audits (e.g., city inspections).
- Manage mail distribution, certified mail shipments, and courier drop-offs (USPS, FedEx).
Fleet & Vehicle Administration
- Maintain updated vehicle and driver records.
- Coordinate vehicle registration renewals and documentation.
- Schedule and track vehicle maintenance and mileage.
- Manage pool vehicle availability, cleanliness, and fuel tracking.
- Coordinate logistics for visiting vehicles (airport drop-off/pick-up).
- Liaise with dealerships for quotations, maintenance, and vehicle logistics.
- Maintain vehicle keys and documentation files.
Event & Visit Coordination
- Support internal events (company picnic, holiday events, birthday celebrations).
- Coordinate logistics for executive and external visits (transportation, catering, meeting room setup).
- Register employees for external events and industry associations.
IT & Communication Support
- Coordinate with IT teams for equipment setup, renewals, and replacements.
- Manage company cellphone renewals and warranty claims.
- Support internal communications related to events, visits, and announcements.
Insurance & Compliance
- Assist with insurance renewals and employee vehicle claims.
- Add new assets to insurance policies.
- Coordinate annual fire inspections and alarm system updates.
