Position Summary:
The Catering and Events Manager is responsible for the planning, coordination, and execution of Club events, Member functions, private parties, and catered experiences. This position serves as a primary point of contact for Members throughout the event-planning process and is responsible for ensuring each event reflects the Club's standards of hospitality, service, and attention to detail.
The Catering and Events Manager works closely with Members, Club Leadership, Food & Beverage, Culinary, and Operations teams to develop and execute successful events while maintaining strong financial and operational discipline. The ideal candidate is highly organized, relationship-driven, proactive, and able to manage multiple events and priorities in a fast-paced private-club environment.
Essential Duties & Responsibilities:
- Manage the Club's event calendar in collaboration with the Food & Beverage team and appropriate Club departments, ensuring events are properly planned, communicated, and executed.
- Coordinate and support the planning and execution of monthly Member events, special events, private functions, and catered experiences.
- Work closely with the Food & Beverage Director, Culinary, Facilities, Reception, and other departments to ensure seamless event execution and consistent Member experience.
- Prepare and distribute accurate Banquet Event Orders (BEOs) and other event documents, ensuring all details, timelines, setups, menus, staffing requirements, and special requests are clearly communicated.
- Develop and implement effective event planning processes, procedures, and tools that improve communication, organization, efficiency, and consistency.
- Continuously evaluate event processes and identify opportunities to improve the Member experience, operational efficiency, and overall event execution.
- Provide leadership and direction to Team Members supporting events, ensuring expectations, service standards, and responsibilities are clearly understood.
- Lead by example and foster a positive, collaborative, and accountable team environment centered on genuine hospitality.
- Maintain a visible presence during events, welcoming Members and guests and ensuring a warm, professional, and personalized experience.
- Anticipate Member and guest needs and address questions, requests, and concerns promptly and professionally.
- Assist with event budgeting, pricing, forecasting, revenue tracking, and expense management to ensure events meet established financial objectives.
- Monitor event costs and resources and identify opportunities to improve profitability while maintaining Club service standards and the Member experience.
- Maintain accurate event records, contracts, deposits, billing information, and other financial and administrative documentation.
- Communicate effectively, both verbally and in writing, with Members, guests, Club leadership, Team Members, and outside vendors.
- Build strong working relationships across departments and promote teamwork, accountability, and effective communication.
- Ensure all event deadlines, planning milestones, and operational requirements are met.
- Attend required meetings, training sessions, and event briefings and contribute to the ongoing development of the Club's event program.
- Maintain reliable attendance, report to work as scheduled, and follow established procedures for schedule changes and shift coverage.
- Work evenings, weekends, holidays, and extended hours as required by the Club's event schedule.
Qualifications & Requirements:
- 3 years of experience in event management, catering, food & beverage, hospitality, or a related field.
- Private club, luxury hotel, resort, or high-end event experience preferred.
- Strong understanding of banquet and catering operations.
- Exhibit excellent communication, time management, and organizational skills.
- Possess the ability to handle complex issues.
- Demonstrate strong interpersonal skills.
- Strong attention to detail and follow-through.
- Proficient in Microsoft Programs (word, excel, and outlook)
- Ability to work evenings, weekends, holidays, and extended hours based on the Club's event calendar.
