Position Summary:

The POA Office Assistant will assist the POA Director with general and administrative office work as it relates to the POA.

 

Responsibilities:

  • Must have complete understanding of the sensitivity and confidentiality of POA information.
  • Must fully understand the POA Rules and be able to communicate them to residents.
  • Assists with Property Inspection Reports and Traffic Citations.
  • Makes phone calls to residents regarding POA issues.
  • Answers administrative emails.
  • Mail sorting and distribution.
  • Scanning and filing paperwork.
  • Work with the Membership Department for all Bonds and Certificates of Compliance.
  • Keep track of and communicate with vendors who need permits.
  • Keep track of rentals and communicate before end of lease.
  • Knowledge and understanding of job tasks performed by the POA so that information may be relayed to others.
  • Answers POA Director’s phone when possible and directs all incoming calls, greets, and directs residents/visitors.
  • Communicates with employees, vendors, and members of the POA/Club in a courteous and helpful manner.
  • Assists residents with ACC and resident update forms.
  • Update inspection notes and remove completed infractions as needed.
  • Process Parking and Speeding tickets, infraction letters, ACC Applications, and Certificates of Compliance.
  • General office duties and other required tasks as requested by the Property Director.

 

 

Requirements:

  • Administrative and computer experience – Word and Excel Proficient.
  • Interpersonal and communication skills.
  • Excellent organizational skills, data review and data entry.
  • Detail oriented.

The employee must frequently lift and/or move up to 25 pounds and occasionally lift and/or move up to 100 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

While performing the duties of this job, the employee occasionally works near moving mechanical parts and is occasionally exposed to wet and/or humid conditions, fumes or airborne particles and is frequently exposed to extreme cold and extreme heat.

The noise level in the work environment is usually loud.

  • Holds and attends regular team meetings for reports, developing alignment across all areas of responsibility.
  • As a “Team Player” of Boca Woods Country Club, the team member must be flexible and is required to perform any job, in whatever capacity, as requested by the General Manager that may be necessary for the smooth operation of Boca Woods Country Club.
