Key Responsibilities
- Provide general administrative support to operations and office staff, including scheduling, filing, document preparation, and organizing paperwork for various projects and activities.
- Assists with the invoicing process by preparing, submitting, and tracking client invoices to ensure prompt payment and resolution of any billing discrepancies.
- Submit and track expense reports for both general operations and maintenance-related expenses, ensuring proper documentation and timely reimbursement.
- Assist with data entry and maintain accurate records of operational activities, ensuring timely updates and distribution of reports across multiple departments.
- Develop and maintain organizational systems for tracking various operational processes, including asset management and resource allocation.
- Update asset locations from information received from Operations, create weekly asset reports for different departments, and distribute reports.
- Support office coordination by managing supplies, monitoring inventory levels, and assisting with vendor communication as needed.
- Organize and maintain standard operating procedures and electronic records to ensure accessibility, accuracy, and compliance.
- Collaborate with internal teams to improve workflow efficiency and identify opportunities for process improvement.
- Serve as a point of contact for administrative inquiries and assist with general office communication and coordination.
- Perform other duties and tasks as required.
- HS Diploma
- 2-3 years of applicable administrative or clerical experience
- Proficiency with Microsoft Suite and other computer-based skills
- Strong attention to detail and organizational skills
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment
- Strong communication skills – both verbal and written
- Experience with Oracle preferred
