Job Summary:
We are seeking a highly organized and proactive Executive Assistant to provide critical support to a senior executive and their team within a fast-paced business environment. This role requires exceptional attention to detail, superior time management, and strong communication skills to manage a wide range of administrative responsibilities and special projects. The ideal candidate will be a self-starter who takes initiative, operates with discretion, and can confidently support leadership priorities across multiple teams
The position is a 4 day a week hybrid position, based in or near New York City office.
Key Responsibilities:
- Executive Support: Manage a complex calendar of appointments and meetings for one or more executives; anticipate scheduling needs and conflicts.
- Meeting Coordination: Schedule internal and external meetings, prepare agendas, capture and distribute meeting minutes, and follow up on action items.
- Travel & Logistics: Coordinate domestic and international travel, including itineraries, accommodations, and transportation.
- Expense Reporting: Prepare, track, and submit expense reports in compliance with company policy.
- Multi-Team Support: Simultaneously support up to three teams; prioritize tasks and communications based on urgency and visibility.
- Project Assistance: Support moderately complex projects and contribute to implementation of policies and procedures within the team.
- Stakeholder Communication: Act as a liaison for internal communications, ensuring messages to and from the executive’s office are clear and timely—especially when interfacing with 3 separate executive leaders.
- Event Planning: Manage onsite and offsite meeting logistics, including catering and vendor coordination.
- Documentation & Correspondence: Draft, edit, and disseminate professional correspondence, documentation, and reports.
- Problem Solving: Proactively identify and resolve issues; exercise autonomy and judgment in addressing escalated matters.
Qualifications:
- 8 years of administrative or executive assistant experience
- Strong organizational and time management skills
- Proficiency in Microsoft Word and Excel
- Proven experience managing multiple calendars and coordinating complex schedules
- Excellent verbal and written communication skills
- Demonstrated ability to manage travel arrangements and expense reports
Preferred Experience:
- Experience supporting multiple teams or departments simultaneously
- Familiarity with onsite and offsite event coordination, including working with external vendors
- Ability to operate independently, anticipate needs, and resolve issues without direct oversight
- Previous experience interacting with senior leadership or executive teams
- Strong multitasking abilities in a dynamic, fast-paced environment
- Bachelor’s degree preferred.
