What are the responsibilities and job description for the Trade Show Coordinator position at BNP Media?
OPERATIONAL DUTIES
· Act as liaison between show management, publishers, and publication personnel for brand participation in any non-BNP events and BNP owned events.
· Develop and maintain trade show spreadsheets to track the many varied details of the brand’s participation in non-BNP events and BNP owned events.
· Track all trade show expenses and work with accounting on financial reconciling.
· Work with brand publishers to manage and negotiate trade barters/agreements with 3rd party non-BNP event management with a strong emphasis on minimizing expenses to maximize brand image.
· Research industry trade shows as necessary or requested to determine/recommend relevance and level of participation based on the sector the BNP brand supports.
· Work on promotional items, as necessary, to identify appropriate items, shop for vendors who provide them, negotiate the best rate and ensure timely delivery to events.
· Work with appropriate BNP brand personal to determine/recommend what materials are needed to participate at any in-person non-BNP or BNP owned events. Including but not limited to graphics, collateral materials, promotional products, marketing materials, signage, etc.
· Assist brands teams with miscellaneous projects to raise brand awareness for publications represented at non-BNP or BNP owned events as necessary or requested.
· Travel to events and support onsite execution of brands participation at non-BNP or BNP owned tradeshows, conferences in-person events, including show set-up and take-down, trouble shoot issues as they arise.
LOGISTIC & COORDINATION DUTIES
· Coordinate the purchase or barter of booth space and execution of agreed upon deliverables determined in trade agreements between publishers and show management for non-BNP or BNP owned events.
· Coordinate all show signage, marketing materials, etc., and the varied details of the brand’s participation in the show for future reference.
· Coordinate and distribute purchase orders and invoices to accounting for payment.
· Other duties as assigned by supervisor.
EVENT SUPPORT
· On-site travel to an event to provide support for the event team. Duties may include, but not limited to:
· Assistance with registration
· Customer service to support applicable brand team participation in non-BNP or BNP owned events.
· Staffing a booth at a non-BNP or BNP owned event
_ Position Requirements_
· Bachelor’s degree in business or related field
· 2 years minimum Event Production/planning experience
· Excellent written and verbal skills
· Ability to take direction and multi-task
· Work productively unsupervised
· Productive and dedicated home office space (work from home)
· Knowledgeable in Microsoft Office and basic computer skills
· Team player who will do what it takes to get the job done
· Interact face to face with event attendees and perform under pressure
· Travel as necessary for the brands you oversee
