ASSISTANT PROPERTY MANAGER (“APM”)Full Time / Queens, NYA Commercial Real Estate firm located in New York has an immediate need for an Assistant Property Manager. This position reports to the Property Manager (“PM”) and has the responsibility of supporting the DPM/PM with the ongoing operations of his/her respective property/portfolio. The APM is responsible for supporting the managers in the day-to-day functions of the property management department, taking on minor property management projects, supervising third-party vendors, preparing the R&M expense portions of the operating budgets, maintaining good relationships with tenants, governmental agencies, vendors, and clients.Responsibilities:Assist in managing all aspects of a building’s occupancy, operations, and maintenance.Serve as a primary point of contact for tenants regarding property-related issues and service requests.Coordinate with tenants, engineers, and third-party vendors to address maintenance, repairs, and facility needs.Conduct regular property inspections, document deficiencies, develop action plans, and follow through on timely resolution.Assist with preparation of operating budgets, forecasts, and financial reports.Review, enter, and approve invoices in Yardi; create and track Purchase Orders.Oversee Yardi Facility Manager work orders, inspections, and preventative maintenance schedules.Coordinate outside vendors for trash removal, janitorial services, landscaping, security, and other contracted services.Assist with investigating and resolving FDNY, DOB, and other regulatory violations.Meet with prospective tenants to show space, conduct walkthroughs, explain terms of occupancy, and assist with applications.Prepare leveling sheets and assist with lease administration as needed.Assist in the preparation and management of RFPs using the Light RFP platform.Support special projects, capital improvements, and building initiatives as assigned.Maintain accurate records and ensure compliance with company procedures and property management systems.May be required to travel to other properties on an as-needed basis.Provide after-hours or weekend coverage when required.Requirements:3–5 years of experience in commercial property management or a related field.Strong written and verbal communication skills.Detail-oriented and highly organized with the ability to manage multiple priorities.Excellent customer service and tenant relations skills.Strong time management, critical thinking, and problem-solving abilities.Proficiency with Yardi or similar property management software preferred.Familiarity with NYC building operations, vendors, and regulatory agencies (FDNY, DOB) a plus.Weekend availability required.
