What are the responsibilities and job description for the Family Ministry Assistant position at Bluff Park United Methodist Church?
Job Summary
The Family Ministry Assistant is responsible for assisting with the day-to-day operations of both the Children’s Ministry and the Student Ministry at Bluff Park UMC.
Responsibilities and Duties
1. Communication a. Manage weekly newsletters for BPUMC Kids and BPUMC Students in coordination with both Director of Children’s Ministry and Director of Student Ministry, utilizing existing templates.
b. Utilize BPUMC Kids social media accounts to promote upcoming events/ministries to parents of children.
c. Communicate with BPUMC Kids Children’s Council as needed.
2. Volunteer Management a. Recruit and coordinate volunteers for BPUMC Kids and BPUMC Students events.
b. Ensure that every person volunteering in any capacity with BPUMC Kids or BPUMC Students has up-to-date Safe Sanctuary training and background check.
3. Weekly Event Assistance a. On Sunday nights greet students and ensure that they sign in. Once students have arrived, assist Director of Student Ministry as needed.
b. On Wednesday nights greet students and children and ensure that all students and children are signed in. Once students and children have arrived, assist Director of Student Ministry and Director of Children’s Ministry as needed.
4. Special Event Assistance a. Assist with special events for BPUMC Kids and BPUMC Students, including but not limited to High School Discovery Weekend, Discovery Weekend, Easter Egg Hunt, Camp on the Bluff, Vacation Bible School, Summer Retreat, Appalachia Service Project, Halloween Carnival, Fall Retreat, Christmas Pageant, and Mission Trip Field Trips.
5. Planning a. Meet weekly with Director of Children’s Ministry and Director of Student Ministry to help plan upcoming events.
6. Meal Coordination a. Plan, purchase, pick up, and set up meals for BPUMC Kids and Students on Wednesday nights and for BPUMC Students on Sunday nights.
7. Internal Communication a. Communicate with BPUMC administrative staff to reserve spaces and buses for BPUMC Kids and BPUMC Students as needed.
b. Ensure that all BPUMC Kids and BPUMC Students receipts are collected and submitted on time each month.
8. Supply Management a. Order supplies as needed for weekly events and special events for both BPUMC Kids and BPUMC Students.
b. Ensure that storage areas are organized so that supplies can be used effectively and efficiently.
c. Coordinate with outside vendors for the rental of inflatables, transportation, equipment, and other items as needed.
Requirements
1. Demonstrate a caring, compassionate approach to all persons.
2. Communicate clearly, kindly, and effectively with children, youth, and adults.
3. Demonstrate willingness and ability to continuously learn, grow, and lead.
4. Demonstrate mastery of administrative skills and proficiency in email, Microsoft Office Suite, Google Workspace, or similar database tools.
5. Demonstrate ability to work independently and collaboratively as part of a team.
6. Ability to work 25 hours per week each Sunday through Thursday.
7. Must satisfy age requirements for Safe Sanctuaries staffing.
8. Bachelor’s degree or substantial completion of a bachelor’s degree is preferred although relevant experience will also be considered.
