Responsibilities
- Greet visitors, clients, and vendors with professionalism and enthusiasm, ensuring a warm and welcoming experience.
- Manage multi-line phone systems, answer inquiries promptly, and direct calls efficiently using proper phone etiquette.
- Handle incoming and outgoing correspondence, including emails, mail, and packages, maintaining organized filing systems.
- Schedule appointments, manage calendars, and coordinate meetings using tools like Google Workspace and Microsoft Office Suite.
- Perform data entry tasks accurately in QuickBooks, AutoTask and other office management software while maintaining detailed records.
- Support bookkeeping activities such as invoicing, billing, and basic financial record keeping.
- Assist with clerical duties including proofreading documents, managing office supplies inventory, and ensuring overall office organization.
Requirements
- Proven office experience with strong clerical skills and familiarity with front desk operations.
- Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry tools.
- Experience with multi-line phone systems, video conferencing and phone etiquette to handle inquiries professionally.
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
- Demonstrated customer service skills with a friendly demeanor and excellent communication abilities.
- Knowledge of office management procedures such as filing systems, calendar management, proofreading, and time management techniques.
- Personal assistant or receptionist experience is beneficial for supporting executive technician/engineer team members.
