Duties
- Greet clients and visitors warmly, providing excellent customer service and ensuring they feel valued from the moment they arrive
- Manage multi-line phone systems with professionalism, directing calls accurately and taking detailed messages when necessary
- Maintain organized filing systems, both physical and digital, including client records, legal documents, and correspondence
- Handle data entry tasks with precision using Microsoft Office and Clio to support case management and administrative needs
- Schedule appointments, manage calendars, and coordinate meetings for attorneys and staff to optimize office workflow
- Assist with clerical duties such as proofreading documents, preparing correspondence, and managing incoming/outgoing mail
Experience
- Proven experience in an office environment, preferably within a legal or professional services setting
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and familiarity with multi-line phone systems
- Excellent organizational skills with the ability to prioritize tasks effectively in a busy setting
- Demonstrated customer service skills with a friendly yet professional demeanor
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Previous clerical or administrative experience involving data entry, filing, proofreading, and calendar management is preferred
- Knowledge of office management practices including basic bookkeeping (QuickBooks) and medical or dental receptionist experience is a plus but not required
