What are the responsibilities and job description for the Office Manager / Bookkeeper position at Bluewater Thumb Youth for Christ?
Job Summary: Responsible for ensuring the efficiency of the office including the coordination of administrative, bookkeeping, and secretarial/receptionist processes and procedures. Responsible for professionally representing Bluewater Thumb Youth for Christ to all donors, vendors, parents, youth, and visitors whether in person, on the telephone, or electronically.
Essential Duties of the Job:
1. Professionally answer telephone, promptly respond to or relay messages, and direct caller to appropriate person.
2. Greet guests and general public in a professional, friendly manner.
3. Proficient in computer knowledge and use of Microsoft Office products.
4. Perform bookkeeping duties using QB, including deposits, paying bills, payroll, creating reports and information needed for tax filings.
5. Conduct most banking transactions including balancing bank statements.
6. Maintain donor software program, Donor Perfect, including data entry, donor acknowledgement, and creating reports.
7. Maintain and keep up to date payroll file, volunteer file, and DOT driver pool file.
8. Maintain and update Youth for Christ national data program, IMPACT.
9. Monitor inventory and order office supplies.
10. Keep front office picked up and clean, including work space and conference room.
Skills Required to Perform the Essential Duties of the Job:
1. Ability to work effectively and efficiently in both busy and slow times.
2. Positive and professional communication skills both verbal and written.
3. Computer knowledge including Microsoft Office products (Word, Excel, Outlook, and Publisher).
4. Bookkeeping knowledge.
5. QuickBooks experience.
6. Strong organizational skills, making effective use of slow times.
7. Strong work ethic, ability to work independently or as a part the team as needed.
8. Professional appearance and grooming.
Educational Requirements Needed to Perform the Essential Duties of the Job:
1. Possession of high school diploma or equivalent (GED). Associates or bachelors degree preferred.
2. Computer, accounting, bookkeeping, and QuickBooks training.
Physical Requirements Needed to Perform the Essential Duties of the Job:
1. Must be able to stand, sit, and work at a computer station for long periods of time.
2. Must be able to occasionally lift up to 35 lbs.
Licensing or Other Special Certifications Required:
1. Valid Michigan Driver License.
Pay: $15.00 - $18.00 per hour
Expected hours: 35 – 40 per week
