Role Summary
The On-Site Event Supervisor is responsible for the successful onsite execution of trade shows, consumer events, and experiences. This role oversees the installation and dismantle of event booths and displays, ensures all assets are properly handled, and serves as the primary onsite operational contact for Bluewater.
The On-Site Event Supervisor focuses on operational delivery, working closely with the Warehouse Team, Event Services Project Manager, and Account Managers to execute the event plan provided. This role ensures the booth is built to spec, the client is supported onsite, and all assets return to inventory in proper condition.
This is a highly mobile, hands-on role requiring strong technical aptitude, organization, and the ability to lead onsite labor.
This role requires significant travel, with most work performed on the road supporting onsite event operations. When not traveling, the On-Site Supervisor works in the warehouse to prep assets for upcoming events and support general asset maintenance.
Key Responsibilities
Onsite Event Execution
- Lead all onsite activities for booth install and dismantle, ensuring accuracy to plans, layouts, and instructions provided by the Account team.
- Serve as the primary onsite Bluewater representative, maintaining professional interactions with clients, show personnel, and labor crews.
- Confirm that all services (electric, internet, rigging, furnishings, material handling) are in place and escalate issues to the Account or Event Services Project Manager as needed.
- Capture comprehensive event photos for internal recaps and documentation.
Asset & Inventory Management
- Oversee all display assets, product elements, tools, and branded materials onsite.
- Verify that all assets shipped to the event are received, installed, and returned in proper condition.
- Document damage, missing items, or repair needs and report them back to the Warehouse and Account teams.
- Assist with booth reconfiguration or onsite adjustments as needed.
Coordination with Internal Teams
- Review all event documentation prior to travel, including display handling lists, floorplans, and setup notes.
- Communicate daily status updates to the Account Manager and Event Services Project Manager during show build.
- Support the Warehouse Team with accurate load-out details and return shipping documentation.
- Provide post-event feedback to improve processes and asset management workflows.
Labor & Vendor Coordination
- Direct onsite labor teams during setup and dismantle, ensuring safe, efficient work practices.
- Coordinate with show contractor representatives (freight, electric, rigging) to confirm orders are fulfilled.
- Identify onsite challenges and propose solutions or escalate when necessary.
Warehouse Support & Asset Preparation (Non-Travel Periods)
- Prep, organize, and stage all display assets, tools, and materials required for upcoming events.
- Assist with pulling asset lists, verifying counts, and ensuring all items match event handling lists and documentation.
- Inspect returned assets for damage, wear, or missing components and document findings for repair or replacement.
- Perform basic asset maintenance, cleaning, and repacking to ensure readiness for future events.
- Maintain an organized work area and support overall warehouse efficiency during non-travel periods.
- Collaborate with Warehouse staff to confirm outbound shipments are accurate and complete.
General Responsibilities
- Maintain a high standard of professionalism onsite, representing Bluewater positively.
- Protect client assets, brand standards, and safety requirements at all times.
- Travel frequently, sometimes on short notice, and work non-traditional hours based on event schedules.
- Other duties as assigned.
Skills & Qualifications
Required Qualifications
- 3–5 years of experience in onsite event execution, trade shows, live events, or related field operations.
- Strong understanding of show floor operations, I&D processes, and freight/material handling.
- Ability to lead onsite labor and communicate effectively with show contractors.
- High attention to detail and strong organizational skills.
- Comfort working independently and solving issues in real time.
- Ability to lift equipment and work in physically demanding environments.
Preferred Qualifications
- Experience with automotive displays, experiential activations, or complex multi-asset builds.
- Familiarity with CAD-based layouts, floorplans, and technical drawings.
- Basic skills in AV equipment handling are a plus (but not required).
