Position Summary
The Office Manager is responsible for ensuring smooth day-to-day operations across two office locations. This role combines front desk reception duties with comprehensive office management, including facilities coordination, vendor management, and team supervision. Key Responsibilities
Reception & Front Desk Duties
- Serve as the first point of contact for visitors and employees at the first office.
- Answer and direct phone calls, manage incoming mail and deliveries.
- Maintain a professional and friendly reception area.
Office Management for Two Locations
- Coordinate cleaning services and ensure both offices meet cleanliness standards.
- Oversee maintenance and utility services, including scheduling repairs and managing service providers.
- Manage furniture and equipment upkeep, including replacements when necessary.
- Ensure kitchen areas are stocked with supplies and refreshments.
- Monitor inventory of office supplies and place orders as needed.
Facilities & Vendor Coordination
- Liaise with vendors for utilities, maintenance, and office services.
- Track and manage service contracts and renewals.
Team Supervision
- Act as supervisor for the second office’s receptionist/office manager, providing guidance and support.
- Ensure consistent processes and standards across both locations.
Qualifications
- Proven experience in office management or administrative roles.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Ability to manage vendors and negotiate service agreements.
- Proficiency in Microsoft Office Suite and basic office technology.
