What are the responsibilities and job description for the Marketing Coordinator position at Bluegrass Business Media?
Marketing Coordinator
Healthcare Business Media – a Division of Bluegrass Business Media
Lexington, KY
Healthcare Business Media produces the IDN Summit and ACE Summit & Reverse Expos, two B2B event formats that connect healthcare system executives with suppliers in a reverse-expo format. We are hiring a Marketing Coordinator to own day-to-day digital marketing, event websites, email, design production, and supporting materials for both brands.
What you will do:
- Manage and audit the IDN and ACE event websites in Swoogo (public pages, registration flows, agendas, sponsor and supplier listings, resource centers, and confirmation emails). Clone and archive sites after each event and keep registration types, admin-only fields, and sponsor checkboxes accurate.
- Plan and send corporate and pre-event email campaigns in Mailchimp, including discount deadline notices. Maintain the annual email calendar, segment lists, and monitor compliance.
- Build and update graphics in Canva: email headers, social posts, sponsorship guides, thank-you and amenity cards, SEF booklets, Rx stickers, show-directory and reverse-expo guide covers, and occasional banners.
- Create and QC PowerPoint decks (housekeeping, pre-event, and speaker support slides), checking formatting, polling, video, and image placement.
- Post regularly to LinkedIn and X as events approach, highlighting sponsors, exhibitors, faculty, and keynotes. Coordinate content so email themes also appear on social.
- Support video workflow in Vimeo: clip IDN Shorts from supplied footage, add intros, archive event recordings, and prepare audio-plus-thumbnail uploads.
- Coordinate printed pieces with vendors (Show Directory and Reverse-expo guides, bingo/tip cards, stickers, SEF booklets, maps) and track deadlines.
- Maintain SharePoint/OneDrive marketing folders, speaker and sponsor headshots/bios, and a simple sponsor-deliverable tracker.
- Assist with Executive Insights article scheduling, draft agenda/track documents (with learning-objective language), post-event recap pages, and SurveyMonkey campaigns tied to gift-card fulfillment.
- Send sponsor contracts via DocuSign and enter sponsor registration types as they arrive.
What you bring:
- Strong written communication and the ability to turn healthcare and event details into clear emails, web copy, and social posts.
- Comfort moving between several platforms in a single day (Swoogo, Mailchimp, Canva, PowerPoint, SharePoint, Vimeo, X, Grok bots, among others).
- Solid Microsoft Office skills and an organized approach to deadlines, version control, and checklists.
- Willingness to learn event-registration logic and basic design production; prior event, digital-marketing, or healthcare experience is helpful but not required.
- Reliability with vendor follow-up and the judgment to flag issues early.
This is a hands-on production role with real ownership of the marketing calendar and event sites. You will work closely with the events and sales teams and travel onsite for the summits.
