Bluedog Capital Partners, LLC, Rhode Island’s premier boutique real estate investment firm, is searching for a full-time Administrative Assistant.
The Administrative Assistant will manage the front of house and will be the first point of contact for all guests visiting the office. Any qualified candidate must have a polished & professional appearance as well as a warm & courteous demeanor, both in person and over the phone.
This is a highly visible and important position that must serve as a dependable resource for the entire team. The Administrative Assistant should be viewed as an asset to all departments and play an active role in supporting the broader needs of the office.
Responsibilities
- Manage a multi-line phone system including answering phones in a timely & courteous manner, transferring calls after obtaining applicable information & taking detailed messages for unanswered call transfers.
- Assist staff with tasks including but not limited to the following:
> Conduct mail runs, bank runs, and other errands as needed.
> Clerical tasks such as sorting & distributing incoming mail, processing outgoing mail & postage, FedEx label prep, scanning & filing.
> Keep office organized & the staff adequately supplied.
> Manage Executive’s & Management’s calendars, confirming meetings, conference calls etc. when needed.
- Provide customer service for rental portfolio:
> Take tenant calls, inquiries, complaints, service requests etc. & work with property manager to address/resolve.
> Work with realtor/property manager when setting up new tenants, including lease drafting & renewals, importing tenant contact information etc..
- Work closely under Collections Manager for a variety of ad hoc tasks including but not limited to the lending & rental portfolios.
- Potential for some bookkeeping & reporting for rental portfolio.
Requirements
· High school diploma. College degree is not required.
· Strong computer skills with proficiency working with Microsoft Office.
· Professional written and verbal communication skills.
· Reliable, punctual and have a positive attitude.
· Eager to learn and take on additional responsibilities outside of the initial role.
· Ability to take constructive feedback and adapt to a variety of situations.
· Ability to handle a fast-paced and challenging environment.
· Ability to work independently and as part of a team.
· Spanish speaking is a plus.
Salary & Benefits
· $45,000.00 base pay.
· 3 weeks PTO, first 2 years. 4 weeks beginning in year 3.
· 50% of health insurance premiums covered, first 2 years. 65% begins in year 3.
· Qualify for bonus programs for both debt & equity platforms after 90 days.
· Complimentary parking spot, less than 5-minute walk from office.
TOTAL ESTIMATED COMPENSATION PACKAGE VALUE: $60-$65K
