Purchasing Coordinator

Company Summary:

Blue Wave Products is a consumer products eCommerce business located in Batavia, IL, which imports private label manufactured products to the United States and sells them online through Amazon, Walmart, Home Depot, Lowes, Wayfair, Overstock.com, and to a select group of broker-dealers.

Primary Function:

The Purchasing Assistant supports purchasing and inventory operations by helping create purchase orders, coordinate supplier shipments (domestic and overseas), receive products into the system, and maintain accurate item/supplier records to ensure product availability and clean costs/inventory.

Responsibilities:

· Support forecasting and issue purchase orders to maintain target inventory levels and avoid stock outs.

· Process vendor factory/drop-ship orders: obtain ship dates within 24 hours, update tracking, and support invoice processing.

· Coordinate inbound shipments with suppliers, freight partners, and the warehouse; communicate ETAs and delays to internal teams.

· Receive purchase orders, shipments, and assemblies into the system; complete transfers/adjustments (e.g., case vs each, duplicate SKUs) as needed.

· Maintain item master data: create/update SKUs, costs, dimensions/weights, case quantities, and product attributes following guidelines.

· Maintain supplier records and documentation (quotes, pricing, payment terms, freight policies); support seasonal cost updates as needed.

· Resolve receiving, invoicing, and cost discrepancies with suppliers, receiving, and accounting; track import receiving costs and paperwork.

· Support the resale/replacement parts program by helping set up parts, maintain schematics/instructions, and set reorder points.

· Perform additional tasks as assigned by the leadership team.

Knowledge and Skill Requirements:

· High School diploma or equivalent required; undergraduate degree preferred

· 1-3 years of purchasing, inventory, supply chain, or related business experience preferred

· Proficient in Excel or Google Sheets; comfortable maintaining spreadsheets and basic reports

· Strong organizational and follow-up skills; able to prioritize and multi-task in a deadline-driven environment

· Detail oriented with high accuracy

· Strong communication and problem-solving skills

· Self-motivated, proactive, and dependable with a solid work ethic
