The Office Manager reports to the Director of Operations and is responsible for directing and coordinating activities in the Imaging Center. In collaboration with the Director of Operations, ensures the implementation of plans, policies, and procedures regarding operations and staffing, handling facility issues as needed. The Office Manager is responsible for overseeing and performing various duties in a medical office, which may include scheduling patient procedures, performing insurance verification, creating/maintaining medical records, and compiling/forwarding billing information to the corporate office. This role is based in Boerne, Texas.

The Office Manager is responsible for overseeing and performing various duties in a medical office, which may include scheduling patient procedures, performing insurance verification, creating/maintaining medical records, and compiling/forwarding billing information to the corporate office. This role is based in Boerne, Texas.
Key Responsibilities:
- Actively recruit, train, and mentor all staff in accordance with the highest level of customer service for patient and partnership satisfaction.
- Routinely evaluate the performance of personnel, provide feedback, and, when necessary, take disciplinary action in partnership with Human Resources.
- Coordinate and direct activities of personnel engaged in performing X-ray, computed tomography, magnetic resonance, and sonography procedures.
- Review work schedules, assign duties to team members to maintain patient flow, achieve production goals, and oversee staff operation of imaging equipment.
- Work in conjunction with the Medical Director to implement and/or delegate the monitoring of radiation safety measures to ensure patient safety and that staff follow regulatory requirements.
- Gather information, investigate patient and associate incidents, and escalate as necessary.
- Work in conjunction with the Medical Director to oversee the maintenance of department's quality control program designed to ensure high-quality patient care.
- Oversee the ordering of necessary medical and office supplies and maintain the necessary inventory to ensure seamless operations.
- Review, evaluate, and coordinate equipment maintenance in accordance with vendor guidelines.
- Ensure medical records and files are properly maintained. Prepare and analyze reports outlining activities such as patient volume, equipment, and supply usage.
- Actively cultivates and maintains relationships with all patient referral sources.
- Participates in and /or initiates marketing campaigns and collaborates with marketing representatives to help drive increased referral volumes.
- Manage daily reconciliation report and facility bank deposits
- Other duties as assigned.
- College Degree preferred, must have a High School Diploma and 2 plus years of related experience.
- Detail-oriented, organized, and can effectively communicate with individuals and groups, including all levels of staff
- Familiarity with medical terminology and demonstrate proficiency in typing and the use of Microsoft Office Applications
- Ability to sit, stand, bend, position medical equipment, and move about the facility for extended periods of time.
