Position Summary
The Treatment & Insurance Coordinator is responsible for helping patients move forward with the dental care they need by providing clear financial guidance, verifying insurance benefits, coordinating treatment plans, and maintaining strong follow-up systems. This position works closely with our doctors and clinical team to improve case acceptance while delivering an exceptional patient experience.
Responsibilities Treatment Coordination
- Present treatment plans and financial options with confidence and compassion
- Answer patient questions regarding recommended treatment
- Assist patients with financing options when appropriate
- Coordinate larger treatment cases and phased treatment plans
- Support Invisalign consultations and follow-up appointments
Insurance Coordination
- Verify insurance benefits and complete insurance breakdowns
- Explain insurance coverage and patient financial responsibility
- Submit and monitor insurance pre-authorizations and pre-determinations
- Resolve insurance questions and claim issues as needed
Patient Follow-Up
- Follow up on unscheduled treatment
- Maintain patient reactivation systems
- Contact patients regarding pending treatment and overdue hygiene visits
- Help fill the schedule using ASAP and short-call lists
Team Collaboration
- Work closely with doctors and clinical staff to coordinate patient care
- Assist at checkout when needed
- Participate in daily morning huddles and weekly team meetings
- Support front desk operations during busy periods
Qualifications
Preferred qualifications include:
- Minimum 2 years of dental front office or treatment coordinating experience
- Knowledge of dental insurance and benefit verification
- Experience presenting treatment plans and discussing financial arrangements
- Strong communication and customer service skills
- Excellent organizational and multitasking abilities
- Comfortable learning and using dental software (Open Dental experience is a plus)
