The mission of this role: Be the calm, reliable control tower for client experience and schedule flow — ensuring every inquiry is answered, every appointment is accurate, and every handoff keeps the grooming floor running on time and profitably.
What you’ll own:
- Client Response & Conversion: Answer calls, texts, and emails quickly and clearly; record inquiry-to-booking conversion rate.
- Scheduling Accuracy: Prevent booking errors (ensure correct service, timing, coat type); maintain balanced schedules using service timing standards.
- Client Retention: Encourage recurring appointments though proactive pre-booking; building long-term relationships with regular clients.
- Schedule Recovery: Recover abandoned bookings; fill last-minute slots from cancellations or no-shows.
- Operational Accuracy: Clean and accurate client records, waivers, and vaccination tracking. Maintain accurate end-of-day reconciliation and KPI logging.
What you’ll do:
- Answers phones, texts, and emails and return voicemails promptly.
- Book, confirm, and reschedule appointments using service timing standards.
- Conduct new client onboarding (pet history, temperament flags, agreements).
- Run day-prior confirmations and manage late/no-show protocols.
- Greet clients and manage efficient check-in and check-outs.
- Process payments, receipts, and retail transactions.
- Balance the schedule board to keep groomers running on time.
- Relay accurate notes between clients and the grooming team.
- Offer appropriate add-ons and encourage recurring appointments.
- Maintain accurate records, vaccination tracking and waivers.
- Complete end-of-day reconciliation and lobby upkeep.
You’re a fit if you:
- Have 1 years in reception, customer service or high-volume scheduling.
- Thrive in fast-paced environments where phones, clients and scheduling happen at once.
- Are extremely organized and detail-oriented (small mistakes can disrupt an entire grooming day).
- Communicate clearly and confidently with both clients and team members.
- Enjoy helping clients choose the right services and keeping schedules full.

Compensation & Schedule
- Hourly pay - starting at $16
- 2-3 days per week (M, TH, F) with some Saturdays; no Sundays.
- No PTO currently offered.
- Training provided on scheduling systems, service timing standards, and policies.
