Job Brief: The Front Office Coordinator is the face of Bloom, responsible for creating a warm, welcoming first impression for our patients and their families. The person in this role manages the front desk, supports a busy office of psychologists, and ensures our physical office space remains a comforting, professional environment. Because our administrative team has specialized roles, this position focuses heavily on the in-person patient experience and daily office operations, working collaboratively with our off-site and specialized administrative staff. This role is based at our office in Fishers, Indiana, and will begin with about 15–25 hours of work per week. The ideal schedule is Monday through Thursday, within the hours of 9:00 am – 5:00 pm. The Front Office Coordinator will work 3 days per week for 5-8 hours each day.
Responsibilities
- Patient Experience: Welcome patients and their families to the office, demonstrating our core practice values of respect, kindness, and relational excellence.
- Front Desk Management: Answer the practice phone, providing a warm first point of contact. Answer general questions and seamlessly direct specific clinical, billing, or scheduling inquiries to the appropriate specialized administrative team member.
- Office Environment: Manage the physical office space to ensure the waiting room and facilities are kept clean, clutter-free, welcoming, and professional in appearance at all times.
- Communication: Respond promptly to general patient messages and coordinate daily communication with the broader Bloom administrative team to ensure smooth operations.
- Equipment & Operations: Maintain day-to-day office equipment, including scanners, fax machines, printers, and telephones.
- Privacy & Compliance: Exhibit high-level professionalism and strict confidentiality at all times, adhering to patient privacy rules outlined in the Health Insurance Portability and Accountability Act (HIPAA).
- Administrative Support: Create and update patient profiles in electronic medical record software and maintain a general practice calendar for psychologists and staff.
Requirements & Qualifications
- High school diploma; some college preferred.
- Previous administrative support experience required; previous medical administration experience is a strong plus.
- High degree of proficiency in Microsoft Word and Excel, with a strong aptitude for learning new technologies and software.
- Excellent written and verbal communication skills.
- A highly organized self-starter who can work independently while supporting a larger team.
- A positive, upbeat attitude with a professional, respectful, and kind demeanor.
Pay: $18.00 - $22.00 per hour
