Job Title: Machine Logistics Specialist

Summary
Under the direction of the Chief Financial Officer (CFO), the Machine Logistics Specialist is responsible for supporting efficient, cost-effective supply chain operations and promptly resolving distribution-related issues. This position works directly with internal teams, external partners, and customers to ensure deliverables are completed within the applicable scope and budget. The Machine Logistics Specialist is also expected to collaborate effectively with the Project Management and Shipping and Receiving teams.
This position is responsible for coordinating machine logistics between Italian supplier companies and the final customer and/or warehouse. Responsibilities include managing the quotation process, tracking machine shipment status, and identifying opportunities to reduce logistics-related costs.

Essential Functions
The duties listed below are the specific duties and tasks that someone in this position must accomplish.
- Update and maintain correspondence and documentation related to the quotation and awarding of shipments for freight forwarding and domestic shipping.
- Communicate machine delivery status updates to internal departments and customers.
- Manage all machine rigging requirements and machine shipment logistics.
- Schedule shipment and delivery of components and auxiliary manufacturing tools sourced outside the BLM Italy order, including IPG, SIDEROS, and LIBERTY SYSTEM.
- Manage, maintain, and review the quotation process for all international and domestic shipping.
- Monitor deposit invoice payments and follow up with customers regarding due dates.
- Attend and contribute to weekly open orders meetings and provide all required open information.
- Maintain the Freight Forwarder Dashboard Report and any additional reporting required for completed shipments.
- Reconcile Freight Forwarder invoicing concerns in coordination with the AR/AP teams.
- Partner with Project Management and other internal teams, as needed, to assist customers with logistics questions, crate handling, and offloading requirements.
- Other duties as assigned by management.
- High school diploma or equivalent required.
- Bachelor’s degree in a technical field, business administration, or related field preferred.
- Previous logistics coordination or logistics management experience required.
- Knowledge of machine tooling equipment, including electrical, mechanical, and application-related components, preferred.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and related applications.
- Ability to work independently in a fast-paced environment.
- Ability to anticipate work needs and interact professionally with customers.
- Strong organizational skills and attention to detail.
- Ability to work effectively with team members at all levels of the organization.
- Ability to perform effectively with minimal supervision.
- Strong time management skills.
- Fluency in Italian preferred but not required.
- A clear driving record containing no more than two (2) minor moving violations in three (3) years and no major violations in the last seven (7) years
- General office equipment, including computers, printers, fax machines, and telephones.
