Position OverviewBlackthorn Tactical is seeking a highly capable Executive Personal Assistant to directly support the Founder/Principal with daily operations, project coordination, communications, and administrative execution.
This role exists for one reason: to offload friction from the executive layer so leadership can focus on strategy, growth, and client outcomes. The ideal candidate is organized, proactive, discreet, and capable of handling both professional and personal tasks with precision and judgment.
This is a high-trust position requiring confidentiality, reliability, and strong independent decision-making.
Key ResponsibilitiesExecutive Support & Operations- Manage calendars, scheduling, reminders, and time-blocking
- Coordinate meetings, calls, and follow-ups
- Prepare briefs, notes, and summaries ahead of meetings
- Act as a point of contact for inbound communications when appropriate
- Assist with assembling client proposals, project outlines, and presentations
- Draft, format, proofread, and organize documents and reports
- Support development of marketing materials and internal documentation
- Track project timelines, deliverables, and outstanding tasks
- Draft and manage emails on behalf of the executive (as directed)
- Handle phone calls, scheduling requests, and general correspondence
- Maintain professional tone, clarity, and discretion in all communications
- Handle purchasing, subscriptions, equipment orders, and vendor coordination
- Organize digital files, records, and documentation systems
- Assist with travel planning, reservations, and itineraries
- Run business-related errands as needed
- Support select personal tasks to reduce executive cognitive load
- Coordinate appointments, scheduling conflicts, and logistics
- Anticipate needs and proactively solve problems before they escalate
- Proven experience as an Executive Assistant, Personal Assistant, or similar role
- Exceptional organizational and time-management skills
- Strong written and verbal communication abilities
- High level of discretion, professionalism, and trustworthiness
- Ability to manage multiple priorities without constant oversight
- Comfortable operating in fast-moving, evolving environments
- Comfortable working in an Apple-based environment (macOS, iPhone, iPad)
- Proficient with common productivity tools (email, calendars, documents, cloud storage)
- Ability to quickly learn new systems and workflows
- Experience supporting founders, executives, or small leadership teams
- Familiarity with project coordination or proposal development
- Background in operations, marketing support, or client-facing environments
- Proactive rather than reactive
- Detail-oriented with strong follow-through
- Calm under pressure, adaptable, and solution-focused
- Able to take direction, then execute independently
