Black Swift Group, LLC is a Boulder, CO-based investment manager with a 10-year track record. Black Swift is currently searching for a new Client Operations Associate to join its team of seasoned professionals. The candidate will focus on the client services and office management functions for the firm. The role supports our separate account management business alongside Black Swift's alternative investment funds, while owning the day-to-day operations that keep the office running. The ideal candidate is highly organized, detail-oriented, professional, and resourceful, with proven experience running an office. We are looking for a self-starter who thrives in a collaborative environment. The individual will join a small, dedicated client services team in our Boulder, CO office.
Key Responsibilities
Client Services
- Respond to client requests and investor queries, providing support to the Client Services team
- Communicate directly with clients to gather necessary details, ensuring accurate notes and reporting
- Onboard new clients and accounts
- Open client accounts and process money movement requests
- Attend meetings, preparing clear, detailed notes
- Answer and direct incoming phone calls with professionalism
- Build and maintain presentation decks for quarterly and annual client review meetings
- Write and distribute monthly financial planning newsletters and other client-facing educational content
- Prepare marketing materials, client reports, and periodic updates
- Assist in the creation of technical marketing material and analyses
- Maintain industry databases and online investor portals
- Monitor investor transactions, coordinating with accounting, operations, and the fund administrator to reconcile investor activity, ensuring proper setup of new investors
- Maintain and update CRM system to ensure accurate client records
- Prepare and review paperwork with a high degree of accuracy
- Support other staff members with administrative or operational tasks as needed
Office Management
- Serve as the primary point of contact for building management, vendors, and outside service providers
- Order and maintain office supplies, equipment, and technology, keeping the office fully stocked and functional
- Coordinate calendars, travel arrangements, and meeting logistics for the team
- Maintain organized physical and digital filing systems, including compliance and client records
- Process incoming mail, scanning, distributing, and filing as appropriate
- Plan and coordinate client meetings, office events, and team functions, including catering and setup
- Track invoices, expenses, and vendor payments, submitting them for approval
- Greet clients and guests, ensuring a professional and welcoming office environment
Qualifications
Required
- Bachelor's degree
- 5 years of meaningful work experience in the investment management industry
- Demonstrated experience in office management or administrative operations, ideally as the person responsible for keeping an office running
- Strong analytical skills with a working knowledge of equity investments
- Strong attention to detail with the ability to produce error-free work
- Excellent organizational and time management skills, with the ability to handle multiple projects and deadlines
- Excellent verbal and written communication skills, with the ability to write clear client-facing content
- Proficiency with Microsoft Office Suite, including PowerPoint and Excel, plus comfort learning new software and CRM systems
- Series 65 license, or the willingness to obtain one within the first few months of hire (study support provided)
Preferred
- Prior hedge fund or other relevant alternative investment experience
- Experience working with institutional investors
- Experience with client and performance reporting
- Working knowledge of CRM systems such as Redtail, Wealthbox, or Salesforce
- Advanced Excel skills, including pivot tables and data reconciliation
Benefits, Compensation, and Location
- Base salary range $90,000 - $110,000 plus potential bonus, commensurate with experience
