Responsibilities
- Manage front desk operations, greeting visitors and directing them appropriately.
- Handle multi-line phone systems, ensuring professional phone etiquette while managing incoming calls.
- Perform data entry tasks with accuracy and attention to detail.
- Maintain organized filing systems for easy retrieval of documents.
- Assist with calendar management, scheduling appointments, and coordinating meetings.
- Provide customer support by addressing inquiries and resolving issues promptly.
- Utilize Microsoft Office and Google Workspace for document creation, spreadsheets, and presentations.
- Conduct proofreading of documents to ensure clarity and correctness.
- Support bookkeeping tasks as needed, including basic accounting functions using QuickBooks.
- Collaborate with team members to enhance office management processes and improve workflow efficiency.
Requirements
- Proven office experience with a focus on administrative duties.
- Familiarity with clerical tasks such as filing, typing, and data entry.
- Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Excellent organizational skills with the ability to manage multiple tasks effectively.
- Bilingual candidates are highly preferred to assist diverse clientele.
- Previous experience as a dental receptionist or medical receptionist is a plus.
- Demonstrated customer service skills with a friendly demeanor.
- Ability to manage time efficiently while meeting deadlines in a fast-paced environment.
